An exciting opportunity has become available for an experienced part-time
Senior Medical Receptionist / Clinic Coordinator
to join a well-established surgical specialist medical practice providing high-quality care to women across a broad range of life stages.The practice is led by an Australian-trained surgeon with a comprehensive clinical scope encompassing general gynaecology, women's health, fertility and minimally invasive surgical procedures. The practice also has a particular interest in infertility and works closely with leading fertility providers.
This is an chance for a confident and highly organised medical administration professional to take on a senior coordination role within a specialist healthcare environment, contributing to the smooth day-to-day operation of the practice while providing an exceptional patient experience.
The position is offered
3 days per week — Monday, Tuesday and Wednesday
with the flexibility to increase hours when required to provide additional coverage for staff leave and absences. This would suit someone seeking a consistent part-time schedule with the opportunity to flex up their hours when needed.
Key duties and responsibilities will include (but not limited to):
Welcome and professionally greet patients attending the rooms of this surgical specialist practice
Manage all incoming telephone calls,
assisting patients with general enquiries and directing queries appropriately and within a timely manner
Oversee the daily preparation and running of patient clinics, including appointment bookings, patient data entry and maintenance of records within Clinic to Cloud software
Review upcoming clinics and ensure patient records, referrals, correspondence and relevant documentation are complete and in order prior to each clinic.
Manage appointment reminders, patient emails and general patient communications in a timely and professional manner.
Triaging of all new patient referrals to the practice
Assist with the smooth day-to-day operation of the Practice, contributing to efficient administration and a high standard of patient service.
Provide administrative support to the Practice Manager, including assistance with patient records, correspondence, theatre quotes and theatre bookings
Act as a senior point of contact for patients and colleagues, helping to ensure a welcoming, organised and professional experience across the Practice.
In addition to the key duties and responsibilities, Candidate must be able to demonstrate:
At least 2 years' experience in a similar senior medical reception or clinic coordination role, preferably within a surgical specialist practice.
Strong computer and medical software skills, with experience using Clinic to Cloud for patient management, Medical-Objects and Eclipse for patient billing highly regarded but not essential.
A genuine commitment to providing exceptional patient service and creating a warm, professional and compassionate experience for every patient.
Immaculate personal presentation and a professional approach to representing the Practice.
An exemplary telephone manner, with the ability to communicate with patients in a calm, empathetic and professional manner.
Excellent communication and interpersonal skills, with the ability to build positive relationships with patients, specialists and colleagues.
A collaborative team player who is willing to support others and contribute positively to the practice environment.
A high level of confidentiality, discretion and professionalism when dealing with sensitive patient information.

Remuneration:
A salary of
$38–$42 per hour + superannuation
will be offered to a suitably experienced candidate, depending on recent and relevant skills and experience. The role is based in the heart of North Lakes, with easily accessible car parking and convenient access to local amenities. The position is offered Monday to Wednesday with flexibility to increase hours when required to cover staff leave and absences.
