A scheduling role that is actually a scheduling role
Most "scheduling" jobs in allied health are reception jobs with a diary attached. This one isn't. You won't be running the clinic, ordering stock or setting up rooms. Your job is the diary, and doing it properly.
Allied Therapeutic Services (ATS) is a multidisciplinary allied health organisation delivering occupational therapy, speech & language pathology, psychology and positive behaviour support to urban, regional and rural communities across North Queensland. Our hub-and-spoke model pairs local clinic teams in Townsville, Cairns, Mackay, Ayr and Charters Towers with a central Services Hub covering compliance, quality, ICT, HR, finance and professional development, so the people delivering the service aren't also carrying the back office.
We're looking for a full‐time
Allied Health Scheduler
in Townsville to own appointment coordination for a portion of our client base alongside our existing team of administration, reporting to our Townsville Practice Manager.
The work spans every funding stream we hold.
NDIS is the majority of it, agency, plan and self‐managed, alongside privately funded clients, aged care, private health insurance, WorkCover, DVA and Medicare care plans. Each stream carries its own approvals, paperwork and booking rules, and knowing the difference is a large part of doing this job well.
What you'll do
Schedule initial and ongoing appointments across in-clinic, community, outreach and telehealth delivery -matched to clinician availability, discipline, funding parameters, travel and location
Monitor clinician diaries, find and fill the gaps, and manage utilisation without compromising continuity of care
Manage confirmations, reschedules, cancellations and waitlist offers quickly and professionally
Prepare, issue and follow up service agreements, consents and funding approvals appropriate to each client's funding type, so services can start and continue without avoidable delay
Liaise with clients, families,



nominees, support coordinators, case managers, insurers and referrers about availability and scheduling requirements
Keep Splose accurate and current - appointment detail, clinician allocation, notes and booking updates
Track forward diary capacity and escally anything that puts client access or service delivery at risk
Contribute to improving how scheduling runs, not just running it
What we need from you
Demonstrated experience in scheduling, rostering, appointment coordination or complex administration
Strong organisational and problem‐solving skills, and the judgement to know what you can resolve yourself and what needs escalating
Clear, warm, skilled communication - you'll be the voice clients and families hear from most often
Real attention to detail; bookings, approvals and records need to be right the first time
Solid computer literacy, including Outlook, Word and Excel
Current Blue Card (Working with Children and Young People) and NDIS Worker Screening (Yellow Card), or the ability to obtain both
What will put you ahead
3+ years scheduling in allied health, healthcare, disability or aged care
Experience coordinating diaries for a multidisciplinary clinical team
Working knowledge of one or more funding environments - NDIS, aged care, private health, WorkCover, DVA or Medicare care plans
Splose or Cliniko experience
Experience managing waitlists, cancellations and diary optimisation
Certificate in Business Administration or a similar qualification
