Records Management Officer - APS 6

About the role
The Information Management (IM) Team plays a central role in ensuring the ACMA’s information is managed as a reliable and accessible record of the ACMA’s business activities.
The IM team supports records management across the full lifecycle, from system capture and day-to-day use through to storage, access and long-term preservation. The work spans four key areas:
- recordkeeping systems and tools, including Content Manager
- records governance and practical advice to staff
- managing digital and legacy paper records
- coordinating whole-of-government reporting activities.
The role requires a high-performing APS6 Records Management Officer who can operate with limited direction, exercise sound judgement in complex records and information management matters, understand and interpret legislation and policy and provide practical guidance to staff, stakeholders and team members.
You will administer Content Manager, the ACMA’s official recordkeeping system; advise on other digital recordkeeping systems; manage our offsite records storage contract; and provide advice to strengthen recordkeeping practices, including supporting the effective design, implementation and continuous improvement of information management processes.
In this role you will:
- Deliver and maintain best-practice records management services across physical and digital environments.
- Administer Content Manager as the ACMA’s official recordkeeping system, including managing and supporting system users, and providing quality control and assurance.
- Provide advice on recordkeeping lifecycle obligations, including compliance, risk and appropriate handling practices.
- Apply legislation, standards and policy in operational and governance contexts.
- Analyse recordkeeping practices and deliver process improvements that strengthen compliance with record management requirements.
- Develop and maintain records management policies, procedures and guidance.
- Promote good recordkeeping practices through training and stakeholder engagement.
- Apply information security, privacy, and confidentiality requirements while supporting access, permissions, control and disposal processes.
- Manage priorities and deliver quality outcomes within agreed timeframes.
Our Ideal Candidate
We are seeking a capable APS6 who can deliver practical, high-quality records management services in a complex and evolving workplace.
Our ideal candidate will bring the following skills and attributes to the role:
- Formal qualifications in information management or a related discipline, or relevant experience in a similar role within government.
- Knowledge of government recordkeeping requirements, including relevant legislation, policies, standards and guidance,
such as those issued by the National Archives of Australia or equivalent state/territory authorities.
- Experience administering an electronic document and records management system (EDRMS), preferably Content Manager, and the ability to adapt and build capability in other business information systems such as SharePoint.
- Experience in providing support to users of EDRMS including identifying and solving technical issues.
- Ability to support compliance with records management legislation, policy and regulatory requirements across the lifecycle of records and recommend improved business practices and processes.
- Sound judgement in assessing information risk and compliance requirements in a practical way.
- Well-developed communication and stakeholder engagement skills, with experience presenting clear, fit-for-purpose information to diverse audiences and contributing to training, guidance and business documentation.
- Ability to operate with limited direction, manage priorities, exercise judgement and make decisions in complex information management contexts.
The following skills and experience are highly desirable:
- Experience managing sentencing, destruction and transfer projects, and / or contributing to disposal authority development projects.
This opportunity will be offered for an initial non-ongoing period until 30 September 2027, with possibility for extension or being made permanent.
