Your Impact
As a part time Property Care Support Officer, you will play a key role in:
- Coordinating customer enquiries, preparing quotations, supporting job scheduling, maintaining customer records, and assisting with business administration activities to ensure the efficient delivery of property care services.
- Working closely with operational staff, customers, and internal stakeholders, the Property Care Support Officer contributes to a positive customer experience, supports efficient service delivery.
- Helps achieve the commercial and social objectives of Renew Property Care.
Job Description
What you'll do:
- Respond to customer enquiries received via phone, email, website, and referral channels.
- Prepare and issue quotations, work orders, service agreements, and customer correspondence.
- Coordinate site visits, inspections, and customer appointments.
- Maintain quotation registers and follow up outstanding quotations and customer requests.
- Maintain accurate customer, job, scheduling, and sales information within CRM and business systems.
- Support the coordination and scheduling of property care services in consultation with operational supervisors and team leaders.
- Assist with customer onboarding and contract administration processes.
- Prepare documentation to support invoicing, purchase orders, and other administrative processes.
- Produce routine reports relating to quotations, customer activity, work completed, and operational performance.
- Maintain electronic and physical filing systems in accordance with organisational requirements.
- Liaise with customers to ensure work requests, changes, and service issues are communicated and resolved promptly.
- Support tender submissions, proposals, presentations, grant deliverables and marketing activities as required.
- Develop and maintain positive working relationships with customers, suppliers, and internal stakeholders.
- Identify opportunities to improve administrative processes, customer experience, and operational efficiency.
- Support Property Care teams to meet workplace health and safety requirements by maintaining accurate and current records, including Job Hazard Analyses (JHAs), risk assessments, inspections and corrective actions, and liaising with the WHS team to ensure documentation, actions and compliance requirements are completed and reviewed.
- Provide general administrative support to the Renew Property Care team as required.
Please note that this position is employed on a fixed-term, part-time basis for 1 year. Shifts are from Mondays, Wednesdays and Fridays from 9.00am to 3.30pm. Total hours per fortnight: 36 hours
Desired Skills and Experience
What you'll bring:
- Previous experience in an administration, customer service, service coordination, or sales support role.
- Strong customer service skills with the ability to build and maintain positive relationships with customers and stakeholders.
- Experience preparing quotations, schedules, work orders, or customer documentation.
- Strong organisational skills and the ability to manage multiple priorities and deadlines.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office applications including Outlook, Word, Excel, and Teams.
- Experience using CRM, scheduling, job management, or business administration systems.
- Well-developed written and verbal communication skills.
- Ability to work independently and demonstrate initiative.
- Ability to work collaboratively as part of a team.

- Experience within property maintenance, grounds maintenance, landscaping, facilities management, construction, or trade service environments.
- Experience with invoicing, purchase orders, or contract administration.

- Experience working within a social enterprise, disability employment, community services, or not-for-profit environment.
