About the Role
The Team Leader position is an integral part of administrative services management within the MLHD Patient Flow Unit and is responsible to the MLHD Patient Flow Manager. This position must ensure that frontline administrative staff are delivering high-quality administrative services in a customer focused manner and in accordance with MLHD policies.
Key Accountabilities
- Appropriately manage the Patient Flow management team incoming communications, note tracking protocols to ensure deadlines are met and workflow is maintained.
- Provide high level secretarial and administrative support to the Patient Flow Transport Unit team.
- Assist health care team in obtaining/generating information, activity reports or correspondence related to patient care.
- Develop and maintain data recording systems as required by the MLHD Patient Flow Service.
- Assist in the production of reports on finance and quality parameters/indicators.
- Undertake administrative tasks related to meetings that are held on the unit involving clinical staff including scheduling, ensuring availability of documents and progression of action items.
- Ensure follow-up action is timely and that appropriate responses are prepared for consideration in final submission.
- Other general administrative and support tasks to support the health care team.
- Provide high level quality customer service to all visitors to the Patient Flow Transport Hub.
- Exercise initiative and regularly demonstrate sound interpersonal skills including negotiation, persuasion, empathy,
conflict de-escalation, diffusion and resolution and assertiveness.
- Identify and recommend process improvements in relation to workflow within team and relevant projects or initiatives.

Selection Criteria
- Demonstrated experience in managing administrative services, roles, and functions.
- Demonstrated experience in management of human and material resources according to approved budget.
- Demonstrated experience of advanced skills in the operation of advanced digital telehealth platforms, mainstream clinical software applications and database management.
- Demonstrated well-developed organisation & time management skills, ability to prioritise, achieve deadlines under pressure, work independently and as part of a team.
- Excellent communication skills, verbal and written, ability to communicate confidently and courteously with people at all levels including management, staff, other health professionals, clients and various external providers.
- Drivers Licence – Class C availability and willingness to travel as required.
