About the role

To work collaboratively with, and provide backup support to, the Practice Manager – Operations & Staff, while overseeing the medical centre's business performance, compliance and accreditation, practitioner (GPs, allied health, specialists) administration, information technology, facilities, policies and procedures, quality systems and strategic operational development, ensuring the delivery of high-quality patient care, efficient and effective operations, compliance with regulatory requirements and best-practice principles, the maintenance of high standards of service delivery, and the achievement of the medical centre's strategic objectives and KPIs.

Key responsibilities

- Monitor business performance and identify improvements in consultation with the Medical Centre Director
- Review, reduce and monitor operating costs and practice expenses to identify savings opportunities
- Monitor practitioner billings and service-fee arrangements, implementing tools to improve billings
- Prepare monthly cost reports identifying potential savings and revenue opportunities
- Coordinate administrative onboarding of new practitioners, GPs and allied health
- Maintain practitioner documentation, credentialing records, agreements and employment contracts
- Monitor registration, insurance, credentialing and documentation expiry dates
- Develop, implement and manage practice-wide systems, operational policies, procedures and processes incorporating industry standards and best-practice principles
- Regularly review policies,



procedures and systems to ensure they remain effective and appropriate
- Monitor adherence to practice standards, policies, procedures and accreditation requirements
- Oversee the practice management software and hardware environment and coordinate IT provider relationships
- Manage system access, user permissions, software upgrades and new system implementations
- Ensure appropriate data backup, cybersecurity and business-continuity processes are maintained
- Coordinate practice accreditation and maintain ongoing accreditation readiness
- Monitor administrative compliance with relevant healthcare, accreditation and regulatory requirements
- Coordinate accreditation documentation and evidence
- Identify opportunities for new systems, services and initiatives, conduct analysis and provide recommendations to the Medical Centre Directors
- Champion, coordinate and implement significant new systems, services, programs, policies and practice-wide initiatives once approved
- Undertake forward operational planning for the medical centre in consultation with the Medical Centre Director
- Monitor changes to relevant regulations, legislation, Medicare requirements and accreditation standards
- Manage key suppliers, service-providers and medical representatives' relationships
- Review contracts and service agreements and monitor contract renewal dates
- Monitor practice growth and business performance, analyse practitioner utilisation and appointment demand
- Identify opportunities to introduce or expand services and lead recruitment of additional practitioners
- Undertake continuous process improvement across all areas to remove redundancies and increase efficiencies
- Coordinate cleaning, maintenance and repairs and identify maintenance issues




- Coordinate building access, keys, security and after-hours arrangements

About you

- Experience in practice management, business administration or healthcare administration
- Strong financial and business acumen with ability to analyse costs and identify savings opportunities
- Knowledge of healthcare compliance, accreditation standards and regulatory requirements
- Experience with practice management software and IT systems
- Excellent organisational and project management skills
- Strong communication and stakeholder management abilities
- Ability to work collaboratively and provide support to other team members
- Attention to detail and ability to maintain accurate records and documentation
- Demonstrated skills in medical practice administration and operations management, including workflow coordination, rostering, and patient service.
- Strong business and financial management skills, such as budgeting, reporting, billing oversight, and performance tracking.
- Experience with compliance, risk management, and accreditation processes in a healthcare or similar regulated environment.
- Proficiency in practice management systems and electronic health records, with the ability to manage system configuration, data integrity, and user support.
- Effective people leadership skills, including staff supervision, training, performance feedback, and conflict resolution.
- Excellent communication and interpersonal skills, with the ability to interact professionally with patients, clinicians, and external stakeholders.
- Robust organizational and problem-solving abilities, with attention to detail and the capacity to manage multiple priorities.
- Relevant tertiary qualification in health administration, business management, or a related field, or equivalent experience in medical or allied health practice management.
- Understanding of Australian healthcare funding and Medicare processes is highly beneficial.
