We are seeking an experienced and highly organised Senior Secretary / Surgical Bookings Coordinator to join a well-established surgical specialist practice based in Spring Hill. This is a full-time permanent position, Monday to Friday 38 hours per week, offering the opportunity to become an integral part of a busy and highly respected surgical practice.

The practice provides comprehensive care across a broad range of conditions, including urological cancers, prostate health, stone disease, voiding dysfunction, men’s health and infertility, female urology and urinary incontinence. The specialist also has particular expertise in the management of prostate cancer, including robotic and open surgery and contemporary minimally invasive treatment options, as well as procedures for benign prostate enlargement.

This is an important patient-facing and operational role within the practice. The successful candidate will play a key part in coordinating patients throughout their surgical journey, managing bookings and theatre requirements and providing high-level administrative and secretarial support in a professional and patient-focused workplace.

Key Duties and Responsibilities:

The Surgical Bookings Coordinator will be responsible for overseeing the daily operations of the Surgeon’s private practice and surgical commitments. This includes:

- Manage all aspects of patient consulting sessions, ensuring all secretarial and administrative tasks are completed accurately, efficiently and in a timely manner.
- Prepare theatre quotes, coordinate surgical bookings and support patients through the financial and administrative aspects of their procedures.




- Process patient accounts, billing and receipting, including Eclipse and online claims, and assist with billing processes and bank reconciliations.
- Coordinate patient education and pre-operative information for all theatre procedures, ensuring patients are well informed, appropriately prepared for surgery and supported with any immediate concerns or required documentation.
- Manage the surgeon’s diary and appointment schedule to ensure clinics run smoothly, efficiently and on time.
- Triage and appropriately manage all new patient referrals.
- Maintain accurate and up-to-date patient files, records and clinical documentation.
- Provide administrative support with patient correspondence and documentation, with the practice utilising a comprehensive AI platform to assist with correspondence.
- Maintain office supplies and coordinate general facilities requirements to ensure the practice remains organised, professional and welcoming for patients and staff.

To be closely considered, the successful applicant will demonstrate:
- A minimum of 3 years’ experience in a Senior Medical Secretary or Surgical Bookings Coordinator role
- Previous experience in surgical bookings, theatre coordination and private medical administration.
- Proficiency with Xestro or Gentu,



Medical-Objects and relevant inpatient and surgical billing platforms.
- Strong understanding of private surgical billing, including Medicare, Private Health Insurance, ADF, DVA and WorkCover.
- Exceptional communication and interpersonal skills, with a warm, empathetic and patient-focused approach.
- A high level of professionalism, reliability and initiative, with the confidence to work autonomously and take ownership of responsibilities.
- Excellent organisational and time-management skills, with the ability to manage competing priorities and maintain accuracy in a busy surgical environment.
- Strong attention to detail and the ability to handle confidential patient information with discretion and professionalism.

A proactive approach to problem-solving, with the ability to anticipate patient and practice needs and respond calmly and efficiently. The successful candidate will demonstrate a high level of professionalism, strong leadership qualities, and excellent communication skills, ensuring the smooth operation of the practice while fostering a positive and supportive environment for both patients and staff.

Remuneration:

A salary in the range of $40–$48 per hour + superannuation, negotiable based on skills and experience, with a parking allowance incorporated into the salary package.
