About the role

We are looking for a motivated and versatile individual to join our team in an operations co-ordinator role that covers a variety of tasks from order management to supporting the Account Managers and working closely with the warehouse team. This position is ideal for someone who enjoys variety in their workday, can switch between tasks, and thrives in a fast-paced environment. A key focus of this role is supporting and improving efficiency across both administrative and operational areas. You'll be encouraged to contribute ideas and take initiative to enhance processes, reduce errors, and improve productivity.

Key responsibilities

- Manage the shared mailboxes for orders, enquiries and returns

- Respond to customer enquiries via email and phone in a professional and timely manner

- Process orders accurately through MacGear portal or Netsuite, including EDI orders

- Update order changes, cancellations, reallocating stock within Netsuite and communicate to account managers or customers as required

- Review and approve product returns in line with brand requirements

- MacGear portal management – setting up current logins

- Provide assistance to Account Managers and Management where required

- Liaise with warehouse team on priorities and order flow





- Investigate variances and short shipment claims and submit claims to couriers

- Document all processes and procedures for sales support, returns and warehouse operations

About you

- Prior experience in sales support or customer service and familiar with warehouse operations

- Strong written and verbal communication skills

- High attention to detail and accuracy

- A mindset focused on efficiency, continuous improvement, and problem-solving

- Comfortable using ERP and inventory/order management systems (NetSuite experience a bonus)

- Able to work both independently and as part of a team

- Positive attitude, flexible, and willing to pitch in wherever needed
