Job Description
Work alongside the Managing Director and help keep the priorities of a fast-growing business moving.
Geosurv is a Sydney-based business delivering Surveying, Geospatial and Utilities services across major infrastructure, construction and development projects throughout NSW.
With around 100 employees and continued growth across the business, we are looking for an experiencedExecutive Assistantto work closely with our Managing Director and help keep priorities, people and actions moving.
This is not a traditional administrative EA role.
You will have significant visibility across the business and work closely with our Managing Director and leadership team to ensure priorities are organised, actions are followed through and commitments don't fall through the cracks.
The Role
A major part of this position is creating accountability and follow-through across the leadership team.
You will maintain visibility over actions and commitments arising from leadership meetings, weekly reports and discussions with the Managing Director, proactively following up owners, tracking progress and ensuring agreed actions are completed.
Your responsibilities will include:
Proactively managing the MD's busy and constantly changing calendar
Managing and prioritising emails, correspondence and follow-ups
Coordinating leadership meetings, agendas, briefing information and minutes
Maintaining a clear register of leadership actions, owners and due dates
Proactively following up leaders on outstanding actions and commitments
Tracking key business priorities through to completion and escalating where required
Coordinating weekly and monthly leadership reporting and ensuring submissions are received on time
Preparing presentations, reports, correspondence and business documents
Coordinating travel, events, leadership sessions and key company activities
Supporting communication with clients, employees and external stakeholders
Providing practical support across ad hoc projects and business initiatives
What We are Looking For
We are looking for someone who is exceptionally organised, proactive and persistent with follow-through.
You don't simply take minutes, send reminders or maintain a task list.
You take ownership of making sure agreed actions actually happen.
You will be comfortable respectfully following up senior leaders, asking for updates, maintaining visibility over deadlines and escalating where something is at risk of not being delivered.
Ideally, you will bring:
5+ years' experience supporting a Managing Director, CEO or senior executive
Robust diary, inbox and priority management skills
Exceptional organisation and action-tracking capability
Confidence following up and working with senior leaders
Excellent written and verbal communication
Strong attention to detail and follow-through
The ability to manage multiple competing priorities
Sound judgement when dealing with confidential or sensitive matters
A proactive mindset, you naturally look ahead rather than waiting for direction
Experience within construction, engineering, infrastructure, professional services or another project-based environment would be highly regarded.
