We are seeking a
Junior Facilities Administration Assistant
to join our Facilities Management team.
n
This is an excellent prospect for a
recent high school graduate or entry-level candidate
looking to gain practical experience in administration, facilities management and business operations.
n
You will work closely with our Facilities team, contractors and compliance officer. Supporting the day-to-day administration of maintenance and facilities activities across multiple work sites.
About the Role n
Your responsibilities will include:
n
n
Assisting with
SimPRO scheduling and work orders
n
Communicating with contractors regarding scheduled works and job requirements
n
Assisting with the administration of maintenance requests across multiple sites
n
Processing, checking and accurately distributing invoices
n
Amending and correcting invoices where required
n
Following up contractors for outstanding information, documentation or completed works
n
Uploading and maintaining contractor compliance documentation in
Operandio
n
Maintaining accurate records and ensuring information is entered correctly into
all relevant systems
n
Assisting the Facilities team with general administration and data entry
n
Responding to emails/calls
n
Communicating professionally with stores, contractors and internal team members
n
Providing general administrative support to the Facilities Management team
n
About You n
We are looking for someone who is:
n
n
Highly organised and extremely detail-oriented
n
Confident using computers and able to learn new software
n
Proficient in
Microsoft Office Suite
, including Outlook, Word and Excel
n
Comfortable working with emails, documents, spreadsheets and online systems
n
A clear and professional communicator who understands appropriate
workplace communication standards
n
Reliable, punctual and willing to learn
n
Able to follow processes and instructions accurately
n
Comfortable asking questions when they are unsure
n
Able to manage multiple tasks and stay organised
n
Professional and confident
n
Someone who takes pride in getting the details right
n
n
Previous facilities or administration experience is not required.
Full on-the-job training will be provided to the successful candidate.
n
However, you must have a strong level of
computer literacy
, a willingness to learn new systems and a good understanding of professional email and workplace communication standards.
