We are seeking a highly organised and detail-oriented Sales Accounts Administrator to join our Finance team based in Osborne Park.
This role plays a critical part in supporting our transport operations by ensuring services delivered are accurately documented, verified, invoiced and reconciled. Acting as the link between Sales, Operations, Customers and Finance, you will help maintain exceptional customer service while supporting accurate billing and healthy cash flow.
Reporting to the Financial Controller, this position offers an excellent opportunity for an experienced administrator with a background in transport, logistics, fleet management or a related industry.
About the Role
As the Sales Accounts Administrator, you will be responsible for managing the administration and billing processes from booking verification through to invoicing and receivables support.
Your key responsibilities will include:
Administration & Record Management
- Verify customer details, approved rates, purchase orders and charge codes.
- Maintain accurate records for active and completed transport jobs.
- Ensure customer accounts are approved prior to service release.
- Support branches with customer account enquiries.
- Maintain freight job and invoicing information within company systems.
Billing & Documentation Verification
- Review timesheets, run sheets, dockets and supporting operational documentation.
- Validate services delivered against customer agreements and approved bookings.
- Verify driver allocations, hours worked, rates and additional chargeable items.
- Investigate discrepancies with operational teams and depot personnel.
- Monitor outstanding documentation to prevent billing delays.
Invoicing & End-of-Month Processing
- Process transport invoices accurately and in a timely manner.
- Generate customer invoices and ensure supporting documentation is attached where required.
- Apply applicable charges including mobilisation, standby, overtime, delivery and collection fees.
- Process COD invoicing and payment verification.
- Lodge and monitor payment claims in accordance with contractual requirements.
- Complete end-of-month billing, reconciliations and reporting activities.
- Upload invoicing outputs between operational and finance systems.
Variations, Claims & Credit Notes
- Manage customer billing amendments and variations.
- Coordinate investigations of invoice disputes and billing queries.
- Prepare credit note requests and supporting documentation.
- Assist with identifying opportunities to improve billing accuracy and reduce rework.
Receivables & General Support
- Assist with Accounts Receivable activities as required.
- Provide support with collections administration.
- Support Finance and branch operations during peak periods.
About You
To be successful in this role, you will have:
Essential Skills & Experience
- Minimum 2 years’ administration experience within transport, logistics, fleet,
equipment hire or a similar industry.
- Robust data entry, reconciliation and administrative skills.
- Previous experience working with ERP, transport or fleet management systems.
- Intermediate Microsoft Office and Excel skills.
- Excellent attention to detail and accuracy.
- Strong problem-solving abilities.
- Well-developed written and verbal communication skills.
- A customer-focused approach.
- Understanding of invoicing, credit notes and receivables processes.
- Ability to manage multiple priorities and meet deadlines.
Desirable
- Experience lodging payment claims through customer portals.
- Experience using Odoo and/or FMS.
- Understanding of transport compliance requirements.
- Exposure to credit control and dispute resolution processes.
