Job Description
Administrative Assistant n
Location: Sydney, Australia
n
Based onsite in our Sydney office, you’ll provide day‑to‑day administrative support to members of our senior leadership team while helping ensure the office runs smoothly. This is a varied role that combines executive support, office coordination and general administration.
n
This is a great opportunity for someone with a few years of administrative or coordination experience who is organised, proactive and enjoys working in a busy, rapid‑paced environment.
n
This is a part‑time, onsite role working four days per week (0.8 FTE) .
Responsibilities n
Executive Support
n
n
- Provide calendar coordination, meeting scheduling and day‑to‑day administrative support to senior leaders.
n
- Assist with preparation of documents, presentations and basic reporting.
n
- Support meeting coordination, including agendas, note‑taking and follow‑ups.
n
- Manage travel bookings and expense administration for assigned leaders.
n
- Help triage and coordinate incoming requests, ensuring timely and professional responses.
n
n
Office Coordination
n
n
- Support the smooth day‑to‑day operation of the Sydney office, acting as the first point of contact for visitors, building management and general queries.
n
- Maintain office supplies, kitchen, meeting rooms and shared spaces – including daily upkeep of kitchen, dishwasher and coffee machine.
n
- Coordinate couriers, deliveries and daily mail management.
n
- Monitor company car registers and coordinate bookings for staff.
n
- Assist with the organisation of staff gifts, awards and stakeholder thank‑you items.
n
- Escalate facilities issues as needed and provide ad‑hoc support across the business.
n

Events & Culture
n
n
- Assist with organising internal events, team activities and office initiatives – from leadership off sites and team lunches to end‑of‑year celebrations.
n
- Coordinate catering and logistics for meetings and small events.
n
- Support ad‑hoc travel bookings including flights, accommodation and car hire.
n
- Partner with the People & Talent team on culture initiatives and in‑office experiences.
n
Requirements n
About You
n
This role is for someone who takes pride in making things work – someone who’s proactive, organised and energised by variety.
n
n
- 2–3 years’ experience in an administrative or coordination role, ideally with exposure to supporting senior stakeholders.
n
- A proactive approach – you anticipate needs, take initiative and follow through reliably.
n
- Excellent written and verbal communication skills, with the ability to engage professionally across a range of stakeholders.
n
- Strong attention to detail and the ability to manage multiple priorities in a dynamic environment.
n
- Sound judgement when handling sensitive or confidential information.
n
- A positive, can‑do attitude and a genuine enjoyment of being the person who holds things together.
n

Highly regarded:
n
n
- Prior experience in an Executive Assistant capacity.
n
- Experience working in a tech, SaaS or high‑growth scale‑up environment.
