Our client is Australia's leading refrigerated truck supplier, delivering premium transport solutions to the food services industry. With strong national growth underway, they are seeking an organised, customer-focused Depot Coordinator to support daily rental activity and depot operations at their Townsville site.
n
This is not just a desk-based role — it's a role that has you working with customers, suppliers, and internal teams, from allocating payments and handling customer account enquiries through to helping a customer out on the forecourt. It's a genuine all-rounder position.

About the role
n
As Depot Coordinator, you'll play a key role in managing rental activity, fleet coordination, and customer interactions while helping keep depot operations running smoothly. You'll work closely with workshop teams, customers, and internal stakeholders to ensure vehicles are available, compliant, and presented for hire.
n
Accounts and invoicing form a significant part of the role, supporting the operation day to day — this is a hands-on, all-rounder position within a busy depot environment.

Your responsibilities
n
Rental, Fleet & Depot Operations:
n
n
- Coordinate daily rental bookings, fleet movements, and vehicle availability
n
- Manage vehicle handovers, returns, and customer enquiries
n
- Book in customers and coordinate depot scheduling
n
- Liaise with workshop teams regarding servicing, repairs, and downtime
n
- Communicate with customers, suppliers, and internal teams
n
- Maintain accurate fleet, rental, and customer records
n
- Assist with general day-to-day depot operational matters and ad hoc admin tasks as they arise
n
n
Accounts & Administration:
n
n
- Prepare and process rental, repair, and service invoicing
n
- Support accounts receivable and payable related to rental activity
n
- Manage payment allocation and debtor follow-up
n
- Ensure rental documentation and systems are accurate and up to date
n
- Handle general ad hoc administrative tasks to support the depot and accounts function
n
n
General:
n
n
- Ensure compliance with company procedures and EHS requirements
n
- Contribute to improving rental, fleet, and depot processes
n
- Work independently while being a reliable part of the depot team
n
n
What we're looking for
n
We're seeking individuals who:
n
n
- Come from a customer service and admin background — dealership, claims, or fast-paced admin environments are ideal
n
- Have robust PC skills and are comfortable working across different software systems
n
- Are efficient and outcome-focused — able to close out a task and move straight onto the next
n
- Have experience with invoicing, payment allocation, and debtor management
n
- Are organised and able to manage competing priorities, including ad hoc admin demands
n
- Communicate confidently with customers and suppliers
n
- Can work autonomously while supporting a wider team
n
n
Desirable (not essential):
n
n
- Exposure to trucks, light commercial, or heavy vehicles
n
- Vehicle rental or fleet management experience
n
- Experience using Xero and/or Salesforce
n
- HR licence or willing to obtain with our assistance
n
n
We'll teach you our systems and our ways — but we need someone who already knows their way around a PC and software.
