Administration Coordinator – KingKids Clyde North
Potential to transition to permanent part-time The dream part-time hours that everyone wants but are as rare as hen’s teeth are right here! We’re looking for an organised, friendly and detail-focused Administration Coordinator to join the team at KingKids Early Learning Centre & Kindergarten Clyde North, initially on a casual basis, working 9:00 am – 3:00 pm. For the right person, there may be an opportunity for the position to transition to permanent part-time employment in the future.
About the role
Situated at our reception desk, you’ll often be the first and last KingKids face our children and families see each day. We want someone who genuinely enjoys people, takes pride in creating a warm and welcoming environment and understands the importance of building positive relationships with our families and community. But there’s much more to this role than reception.
You’ll work closely with our Centre Director and leadership team to ensure our administrative systems, records and regulatory documentation are accurate, current and well maintained.
At KingKids, we have a strong commitment to child safety and the paramount consideration of children’s safety, rights and best interests. As someone positioned at the front of our service and responsible for important child and family documentation, you will play an active role in supporting our child-protected environment.
This includes maintaining accurate records, appropriately managing confidential information, supporting safe arrival and collection processes, being aware of who is entering and leaving the service,
and ensuring concerns or discrepancies are promptly escalated to the leadership team.
What we’re looking for
- Excellent verbal and written communication skills, including a warm and confident phone manner
- A naturally friendly and welcoming approach with children, families, visitors and team members
- Exceptional organisation and attention to detail
- Confidence using Microsoft Office, including Word, Excel and Outlook
- Experience using databases or administrative management systems
- An ability to manage confidential and sensitive information appropriately
- A strong commitment to child safety and following policies, procedures and regulatory requirements
- Confidence following up missing or incomplete documentation and escalating concerns when required
- Reliability, initiative and the ability to manage competing priorities
Previous experience in administration, compliance, auditing or workplace health and safety would be highly regarded, but is not essential. We’re happy to train someone who brings the right attitude, attention to detail and willingness to learn.
A little more about the job...
You’ll need exceptional organisation skills and a good dose of patience. Expect to ask families 27 times for an immunisation statement,
follow up that one form that is almost complete and make sure important records are exactly where they need to be. You can also expect plenty of very important conversations about dinosaurs, artwork, new shoes and what happened on the weekend, because our children regularly stop by reception to share their learning and latest discoveries.
You’ll quickly become a familiar and trusted face within our KingKids community.
Our commitment to child safety
KingKids is committed to providing environments where children are safe, their rights are respected and their safety and wellbeing are the paramount consideration in the decisions we make. Every KingKids team member, regardless of their role, has a responsibility to contribute to our child-safe culture. The successful applicant will be expected to understand and uphold KingKids' child safety policies, procedures and Code of Conduct, maintain appropriate confidentiality and ensure information and documentation relating to children and families is handled accurately and securely.
The successful applicant will be required to hold a current Working with Children Check and Police Check and complete KingKids' required child safety training and induction processes.
If you’re highly organised, love working with people and want an administration role where you can become an important part of a community while contributing to the safety and experience of children and families, we’d love to hear from you.
