IDC Technologies, the sister company of the Engineering Institute of Technology (EIT), delivers technical conferences and events for engineers and educators around the world. With our conference portfolio continuing to grow, we are looking for an Events and Conference Coordinator to help plan, promote and deliver engaging industry events.

Working closely with the Conference Manager, you will gain valuable hands-on experience across every stage of conference delivery and collaborate with speakers, sponsors, delegates and industry partners. This is an excellent opportunity to develop your career in events, marketing and communications, with potential opportunities for national and international travel.

Key responsibilities

Working under the direction of the Conference Manager, you will:

- Coordinate conference administration, schedules, documentation and general correspondence.
- Support communications with speakers, including invitations, abstract submissions, confirmations, presentation materials and event briefings.
- Assist with sponsor communications and coordinate agreed sponsorship deliverables and event logistics.
- Support the preparation and delivery of marketing activities to promote conferences and encourage delegate registrations.
- Draft and schedule email campaigns, with guidance from the Conference Manager.
- Assist with preparing and updating conference content, including agendas, speaker profiles, website copy, brochures, social media content and briefing materials.
- Maintain conference websites and ensure information remains accurate and up to date.
- Monitor registrations, campaign activity and stakeholder engagement, and prepare regular progress reports.
- Coordinate event logistics before, during and after each conference.




- Provide administrative and on-site support to help deliver a positive experience for speakers, sponsors, delegates and partners.
- Work collaboratively with internal teams and external stakeholders to ensure tasks and deadlines are completed.

About you You will be a proactive and organised professional who enjoys coordinating multiple tasks and working with a range of stakeholders. To succeed in this role, you will ideally have:

- Experience in events, administration, marketing, communications or a related area.
- Strong written and verbal communication skills.
- Excellent organisational and time-management skills.
- The ability to manage competing priorities and meet deadlines.
- Robust attention to detail.
- Confidence communicating with internal and external stakeholders.
- The ability to work both collaboratively and independently within agreed responsibilities.
- Experience using email marketing, website content-management or digital marketing platforms, or a willingness to learn.
- Proficiency in Microsoft Office applications.
- A willingness to assist with events outside standard business hours and travel when required
- Experience in HubSpot and ClickUp is desirable.
