ABOUT THE ROLE

The Fundraising Event Officer supports the delivery of WLSQ’s fundraising and marketing initiatives by assisting with the Fundraising and Marketing Team with administration, events and donor engagement activities.

KEY RESPONSIBILITIES

Fundraising event assistance

- Attend and provide hands-on assistance in the delivery of WLSQ fundraising events, including WLSQ signature events and third-party fundraisers.
- Attend and provide hands-on-assistance with raffle-based fundraising including 50/50 raffles.
- Event delivery and administration including bump-in and bump-out schedules, run sheets, briefings, raffle coordination, prize management, and volunteer/supplier liaison.
- Support volunteer recruitment and maintain registrations, availability and draft rosters. Respond to enquiries, report volunteer numbers and staffing gaps, and assist with approved communications, briefings, event-day check-in, acknowledgements and feedback.
- Maintain accurate event and administrative records across systems.
- Obtain supplier quotes,



follow up confirmations and coordinate routine logistical arrangements as directed.
- Coordinate fundraising infrastructure (e.g. EFTPOS machines ordering, management and charging, raffle tickets, signage) and assist with event financial reconciliations.
- Assist with event infrastructure storage in a timely manner (e.g. packing down event items and maintaining an ordered WLSQ storage system)
- Review and proof event collateral and communications as needed.

Fundraising program support:
- Provide administrative and coordination support to the fundraising and marketing team.
- Reconcile Stripe reports.
- Assist with organising catering and setting up for meetings with supporters.
- Printing of collateral.
- Contribute to the continuous improvement of fundraising processes and supporter engagement initiatives.

- Work cooperatively and collaboratively towards the WLSQ strategy.
- Perform any other reasonable duties as required.

SELECTION CRITERIA / SKILLS AND CAPABILITIES:
1. Prior experience in a hands-on events role highly desirable.
2. Prior experience in fundraising highly desirable.
3. High level competency in computer literacy with experience using CRMs (preferably Salesforce), Microsoft office, Humanitix, Funraisin and Canva highly desirable.
4. Time management and ability to work across multiple competing priorities.
5. Effective written and verbal communication.
6. Ability to work autonomously and seek guidance when required.
7. Understanding of the organisation’s high-level goals and objectives.
8.



Commitment to and ability to work within a feminist framework and to work independently and as a member of a team.

MANDATORY REQUIREMENTS: This role requires the incumbent to hold and maintain the following:
- Open Queensland Driver’s Licence
- Working With Children Check (Blue Card)
- National Police Check

Work outside of business hours, including weekends, will be required. It is a genuine occupational requirement for this position that the incumbent be a woman (Section 25 of the Anti-Discrimination Act 1991 (Qld)).
