JOB SUMMARY

Reporting to the Lead HR Officer (Trainee), the HR Officer plays a key role in ensuring the smooth execution of HR operations and maintaining a positive employee experience at SUMO Services Corporation. This role oversees the end-to-end employee lifecycle, from onboarding, contract and performance management, and disciplinary administration to payroll coordination and offboarding, while ensuring compliance with company policies and government regulations.

Beyond daily HR operations, the HR Officer also manages employee records, logistics, and government-related tasks, and provides support in implementing policies and engagement initiatives. The ideal candidate is detail-oriented and people-focused, capable of balancing administrative precision with a strong understanding of HR best practices to help strengthen SUMO's culture of compliance, collaboration, and continuous improvement.

Scope And Responsibilities

Employee Lifecycle Management

- Prepare, draft, and manage all employee and contractor contracts in coordination with relevant teams, ensuring timely updates, renewals, addendums, and variations.

- Lead onboarding and orientation for recent employees, ensuring compliance, system setup, and proper turnover to supervisors.

- Oversee the offboarding process, including required documents, exit interviews, and turnover of responsibilities before departure.

- Support the end-to-end performance review process, including scheduling, documentation, and maintenance of records.

- Investigate grievances, prepare documentation, and coordinate disciplinary meetings and issuances in line with company policy.

Payroll & Statutory Compliance

- Prepare payroll, including monitoring attendance and leave balances and handling payroll adjustments and related concerns.





- Process government-mandated statutory contributions and remittances with SSS, HDMF, and PHIC, including 13th month pay and annualization.

- Compute and process final pay for resigned or terminated employees, and file SSS maternity and other statutory benefit claims as needed.

Liaison & Logistics

- Coordinate government-mandated compliance requirements with DOLE and other agencies, as well as document notarization and other external transactions with the company's legal partners.

- Manage procurement and delivery of company equipment, HMO cards, and other employee-related items, including the sending and delivery of legal and official documents to employees and other parties involved.

HR Operations & Administration

- Maintain employee files and records, ensuring document completeness, proper access, and accurate record-keeping, while addressing employee inquiries and disseminating important company updates through the appropriate channels.

- Provide general administrative support to employees, handling ad hoc administrative requests, petty cash and reimbursement processing, and bank reconciliation support as needed.

- Support HR projects and tasks delegated by the Lead HR Officer (Trainee) or management, meeting agreed timelines.

Requirements

Education & Experience

- Preferably with a bachelor's degree in Human Resources Management or Psychology,



or a related field.

- At least 2–3 years of experience in HR, contracts administration, and/or general administrative roles.

Technical Expertise & Compliance

- Working knowledge of employment contracts, labor laws, and the end-to-end employee lifecycle, from onboarding to offboarding.

- Experience with payroll, timekeeping, and leave management systems (Sprout HR experience required).

- Proficient in Google, Microsoft, or Zoho tools (Word, Excel, Slides).

Interpersonal Skills & Judgment

- Skilled in handling employee relations matters, including performance and discipline management, with strong communication and interpersonal skills to navigate these situations effectively.

- Strong organizational skills with close attention to detail and accuracy in document preparation, and the ability to handle confidential information with discretion.

Note

- This is a hybrid work arrangement, with onsite reporting required at least twice a month or as needed for business operations. Subject to change once a physical office is secured in Metro Manila (e.g., once a week).
