About the Organisation The Dandenong & District Aborigines Co-operative Ltd (DDACL) is an Aboriginal Community Controlled Health Organisation (ACCHO) which is governed by a community elected Board of Directors. It is committed to the provision of a high quality range of services which will foster and support positive and fulfilling lifestyles for individuals and families within our community. These services are delivered in a professional and efficient manner and in keeping with our culture, traditions and heritage.

The Co-operative provides a range of services which include Aboriginal Health Services and programs, Child and Family Social and Community Services, Aged Care and Disability Services and Corporate Services.
Purpose of Position The Medical Receptionist is the first point of contact for community members, patients, partner Organisations and visitors accessing Bunurong Health Service building. The role is responsible for providing professional and culturally appropriate reception and administration support, managing appointments and travel, responding to enquiries and ensuring the smooth operation of front-of-house services.
This position plays a key role in delivering high-quality customer service while maintaining strict confidentiality and privacy and supporting positive health outcomes for clients and their families.
KEY DUTIES AND RESPONSIBILITIES The Medical receptionist is responsible for providing high-quality, culturally appropriate reception and administrative services. The key duties include (but not limited to) the following:
Greeting patients, visitors and members of the public in a professional and welcoming manner, whilst managing incoming telephone calls and directing enquiries appropriately, providing information and assistance while maintaining strict confidentiality and privacy.
Scheduling patient appointments using the Patient Information Record System (PIRS) Best Practice.
- Liaising with patients, families, General Practitioners and other health professionals to support quality client care.
- Maintaining a clean, safe and welcoming reception and waiting area.
- Coordinating client transport requirements and liaising with the medical driver.
- Performing general administrative duties including filing, photocopying, data entry, word processing and statistical reporting.
- Maintaining adequate stocks of information brochures and ensuring familiarity with all programs and services offered by the organisation.
- Participate in staff meetings and health team meetings as required.
- Receiving and distributing mail and parcels and maintaining the mail register
- Ensuring all duties are performed in accordance with Organisational policies, procedures and confidentiality requirements.
- Undertaking other duties as directed within the scope of skills, qualifications and experience.
ESSENTIAL CRITERIA
- Previous experience in a medical receptionist or similar role in a health care setting. Sound knowledge of Medicare billing processes and patient information systems, including Best Practice or similar software.
- Ability to perform a broad range of administrative tasks including scheduling appointments for patients, digital document scanning and filing, statistical data collection, mail management and the coordination of referrals.
- Excellent written and verbal communication skills with a professional and courteous telephone manner. Confidence and professionalism when dealing with difficult situations and people.
- Ability to work effectively within a multidisciplinary health team, while demonstrating understanding of privacy and confidentiality requirements relating to patient information.
- High level time management skills.
- Intermediate proficiency in Microsoft Office application.
OTHER DESIRABLE SKILLS, KNOWLEDGE AND EXPERIENCE Understanding of, and ability to communicate with, Aboriginal and Torres Strait Islander people and a demonstrated ability to work sensitively and respectfully within a culturally diverse setting.

Qualifications
- Certificate III in Medical Receptionist or equivalent
- Proficient in Microsoft Suite
On offer is a salary in line with market rates, plus salary packaging that will save you tax and free onsite parking. ACCHO Award Grade 2 – Negotiable, based on experience.
