About the Opportunity
A fast-growing automotive retail group is seeking an experienced Payroll Officer to join its Human Resources team in Melbourne. This is a key role responsible for ensuring the accurate, timely and compliant delivery of payroll services across a multi-site workforce. Working closely with HR, Finance, managers and employees, you will manage end-to-end payroll activities, maintain payroll and employee records, resolve payroll queries, and support the ongoing improvement of payroll processes and systems.
The organisation is currently continuing to strengthen and streamline its payroll and workforce management processes, making this an excellent opportunity for someone who enjoys both hands-on payroll processing and process improvement.
This is a full-time, onsite position based in Melbourne.
Key Responsibilities
- Manage accurate and timely end-to-end payroll processing for employees across multiple business locations.
- Review and validate payroll inputs, including timesheets, hours worked, overtime, allowances, commissions, bonuses, leave, deductions, adjustments and terminations.
- Review employee attendance and timesheet records and follow up on discrepancies with employees and managers.
- Process employee commencements, transfers, promotions, remuneration changes and terminations.
- Calculate and process final payments and other payroll adjustments accurately and in accordance with applicable requirements.
- Reconcile payroll reports and investigate and resolve payroll discrepancies.
- Coordinate payroll-related payments and reporting, including PAYG withholding, superannuation and payroll tax.
- Support month-end and year-end payroll activities, reconciliations and statutory reporting requirements.
- Maintain accurate employee payroll records and ensure appropriate confidentiality and data integrity.
- Administer and maintain payroll, time and attendance, and HR systems.
- Support the administration and continuous improvement of Employment Hero or similar HR/payroll platforms.
- Assist with payroll system configuration, testing, data validation and process improvements.
- Prepare regular payroll, headcount, overtime, leave and workforce reports for management.
- Respond to payroll enquiries from employees and managers in a professional and timely manner.
- Work closely with HR and Finance to ensure payroll information is accurate and appropriately reconciled.
- Support payroll audits and provide payroll documentation when required.
- Assist with the development and improvement of payroll procedures, controls and internal processes.
What We're Looking For
- Demonstrated experience in end-to-end Australian payroll processing.
- Strong understanding of Australian payroll requirements, including PAYG, superannuation, payroll tax, leave and termination payments.
- Experience reviewing and processing timesheets, overtime, allowances, commissions and variable remuneration.
- Experience working within a multi-site, retail, automotive, hospitality or similarly operational workforce would be highly regarded.
- Experience with Employment Hero is highly desirable; experience with similar payroll or HRIS platforms will also be considered.
- Sound understanding of Modern Awards and the ability to interpret employment conditions relevant to payroll.
- Solid Microsoft Excel skills and confidence working with large volumes of payroll data.
- Excellent attention to detail and a consistently high level of accuracy.
- Strong reconciliation, analytical and problem-solving skills.
- Ability to identify payroll discrepancies and investigate issues independently.
- Strong communication and stakeholder-management skills, with the confidence to work with employees, managers, HR and Finance.
- Ability to manage sensitive employee information with a high level of confidentiality.
- A proactive approach to process improvement and payroll controls.
- Ability to work effectively in a fast-paced and changing business environment.
