This role is being advertised as both ongoing and non-ongoing, with the employment type to be determined in negotiation with the preferred candidate and the NIAA delegate.

Where a non-ongoing specified term is offered, this would be for an initial period of up to 12 months, with possibility of extension up to a maximum period of two years.

A non-ongoing offer may result in conversion to an ongoing offer of employment however this must occur within 18 months from the opening date of this advertisement.

This role provides an opportunity to contribute to the delivery of security services in a fast-paced and collaborative environment. You will support initiatives that strengthen organisational security, assist in managing risks and help improve processes and customer service outcomes. Working closely with internal and external stakeholders, you will play an important part in maintaining the integrity and security of the organisation's workforce.

The key responsibilities of this role include, but are not limited to:

- manage and process Service Portal requests, ensuring timely and accurate resolution of enquiries
- facilitate Australian Parliamentary Pass applications and access card arrangements for staff
- complete Certificates of Suitability and process requests for access to external agency resources
- administer Leave Without Pay (LWOP) processes in accordance with security requirements
- support the management of security clearances through the myClearance system, including monitoring applications and following up pending short-term clearances before access expiry dates
- coordinate and track Nationally Coordinated Criminal History Checks and other personnel security requirements




- create and maintain Personnel Security System (PSS) profiles, ensuring accurate data entry and record keeping
- process personnel onboarding and offboarding activities, including access management and security-related requirements
- assess and action temporary access requests for staff and contractors
- develop and maintain Standard Operating Procedures (SOPs) to support consistent and efficient business processes
- provide advice and guidance to staff on internal security policies, procedures and compliance obligations
- support the Physical Security Team during periods of high demand, including maintaining incident records, updating security registers and assisting with operational activities
- maintain security management records, registers, site management lists and associated documentation to ensure data integrity and accuracy
- provide high-quality client service to internal and external stakeholders, responding to enquiries and resolving operational issues
- manage diaries, email correspondence and documentation, ensuring effective coordination and prioritisation of business activities
- coordinate meetings and events, including preparing agendas, recording minutes and monitoring action items
- undertake records management and filing activities, ensuring information is accurate, complete and compliant with recordkeeping requirements
- perform a range of administrative and operational support tasks as required.

- strong administrative and organisational skills with exceptional attention to detail
- experience managing sensitive or confidential information
- excellent written and verbal communication skills
- ability to build productive relationships with internal and external stakeholders
- demonstrated ability to manage competing priorities and meet deadlines
- experience in personnel security, clearances, access management or related administrative functions will be highly regarded
- proficiency in Microsoft Office applications and record management systems.

The successful candidate will be required to:
- obtain and maintain a Negative Vetting Level 1 (NV1) security clearance, if not already held
- successfully complete and attain a Certificate IV in Government Security (Personnel Vetting).

Eligibility To be eligible for this position you must be an Australian Citizen. The successful candidate will be required to be assessed through our pre-employment screening checks, such as an Australian Criminal History Check.
