About the role
Run the engine room of a growing psychology clinic. This is a genuine leadership role in a small team, not a senior admin position. You'll have real scope to shape systems, culture and growth, reporting directly to our Director.
Key responsibilities
- Overseeing day-to-day clinic operations — schedules, rosters, appointment utilisation and the flow of the working week
- Leading and supporting our administrative team, and helping recruit, onboard and develop new staff
- Being the first point of contact for families: managing intake, service agreements, waitlists and care coordination with warmth and professionalism
- Keeping us compliant and audit-ready across NDIS, Medicare, privacy and record-keeping requirements, and maintaining our policies and procedures
- Monitoring budgets, reviewing financial reports and overseeing procurement
- Identifying opportunities to grow — current referral relationships, expanded services, increased clinic capacity
- Resolving client and staff concerns early, fairly and well
About you
- At least 2 years in practice management, ideally including growing a practice (both staff numbers and client base)
- Qualifications in business, management, HR or equivalent hands-on experience
- Experience in staff management and client relations
- Exceptional communication, organisation and problem-solving skills
- The ability to be decisive and assertive while staying empathetic — you'll be balancing what families need with what the business needs, often in the same conversation
- A knack for building connections and collaborations, and for fostering a team people want to stay in
- Culturally responsive practice and a reflective, continuous-improvement mindset
- NDIS/disability sector experience is highly desirable; a health or medical background is a bonus, not a requirement
- Current Working with Children Check, NDIS worker check and National Police Check
