A senior, hands-on role in academic surgical practice

Darlinghurst, NSW 2010 | Full-time | $120,000–$140,000 plus superannuation

Professor Richard Harvey is seeking an accomplished Senior Practice Manager to take direct responsibility for the day-to-day administrative and operational work of his busy, established tertiary academic surgical practice.

This role suits an experienced qualified who enjoys personally delivering accurate, timely work, takes initiative and follows tasks through to completion. You will work collaboratively with colleagues, surgeons, hospitals and referring practices, bringing sound judgement and a high standard of patient service.

Independence and personal responsibility

This is a hands-on operational position, not a staff-management role. Seniority means independent judgement, initiative and accountability for your own responsibilities. You will personally undertake the work assigned to the role, organise your workload, anticipate next steps and resolve administrative issues without needing routine direction.

You will learn the practice's particular workflows, but must arrive with the experience to work independently from the outset, including recent Genie proficiency and a thorough understanding of Australian surgical billing. Sound judgement also means recognising when clinical decisions or significant business matters require escalation.

Established referral and surgery-tracking workflows

Newly established systems and workflows are already in place to manage incoming patient referrals and track patients who require surgery as part of their care. We are seeking someone who will work confidently and consistently within these systems.

You will keep records current, follow up outstanding actions and ensure each patient's administrative pathway progresses reliably from referral through to surgical booking, in accordance with the treating clinician's plan.



Reliable use of the existing workflows and attention to unfinished tasks are central to the position.

Your responsibilities

- Process and track incoming referrals, obtain missing information and coordinate appointments through the established workflow.

- Maintain the surgery-tracking system, follow up patients and outstanding booking requirements, and coordinate theatre bookings with hospitals.

- Manage consulting schedules, patient correspondence and day-to-day administration, keeping patients and relevant colleagues informed.

- Personally prepare surgical estimates, coordinate informed financial consent and manage billing, claims, reconciliation and outstanding accounts.

- Investigate rejected or underpaid claims and follow them through to resolution.

- Maintain accurate Genie records and financial and operational reports.

- Identify administrative delays, take appropriate action and handle patient enquiries with professionalism, care and discretion.

Essential experience

Recent, hands-on Genie experience and demonstrated Australian surgical billing expertise are mandatory.

- Substantial experience personally carrying out senior administrative and operational responsibilities within an Australian specialist surgical practice.

- Confident use of Genie for patient administration, billing, accounts and reporting.

- A thorough working understanding of Medicare, private health funds, MBS item numbers, procedural rebates and patient out-of-pocket costs.

- Practical experience with inpatient and outpatient billing, health-fund gap arrangements, surgical estimates and informed financial consent.





- Experience with ECLIPSE claiming, account reconciliation and resolving rejected or underpaid claims.

- A demonstrated ability to manage your own workload, use established systems consistently and complete tasks accurately with minimal supervision.

Applicants must be able to demonstrate what they have personally delivered in previous roles. General medical administration experience without the required surgical billing and Genie expertise will not meet the requirements of this position.
