Operations & Team Supervisor - White Rabbit Gallery
White Rabbit Gallery is seeking a confident, highly organised and people-focused Operations and Team Supervisor to help keep one of Sydney's most distinctive cultural spaces running smoothly.
This is a hands-on role at the heart of the Gallery's daily operations, supporting an exceptional visitor experience across front-of-house areas while ensuring behind-the-scenes operations run seamlessly.
The role encompasses staff coordination, workforce planning, building and workplace safety, reporting, emergency preparedness and general operational administration.
You will lead a large and multifaceted front-of-house team, fostering a positive, professional, and supportive workplace culture.
You will also act as the key point of contact for internal and external stakeholders, ensuring information is communicated clearly, appropriately, and confidentially.
Key responsibilities
Oversee the smooth day-to-day operation of front-of-house and back-of-house functions across the gallery
Lead workforce management, including rostering, timesheets, availability planning, recruitment, onboarding and staff training
Support HR processes, including clear and transparent staff communication, performance conversations and initiatives that promote team wellbeing
Take responsibility for workplace and visitor safety across the organisation, including emergency planning, WHS/OHS inspections, first aid administration, Chief Fire Warden responsibilities and food safety compliance
Respond to visitor complaints, concerns and service escalations professionally, appropriately and confidentially
Maintain accurate and up-to-date internal records,



documentation and operational reporting
Act as the key point of contact for internal and external stakeholders, ensuring relevant information is communicated to the appropriate people in a timely and professional manner
Support the day-to-day operations of the gallery's teahouse including ordering, purchasing, and financial administration, working closely with the Teahouse Supervisor
Regularly review operational systems, processes and communication practices, identifying opportunities for continuous improvement while ensuring compliance with Gallery policies and procedures
About you
Demonstrated experience managing operations within a complex, public-facing environment
Proven experience leading a large front-of-house or visitor-facing team
Solid HR and people-management skills, including recruitment, onboarding, training, performance management and team development
Experience with financial administration, including purchasing, accounts payable, reconciliation and reporting
Excellent organisational and time-management skills, with a high level of attention to detail
Strong written and verbal communication skills, with the confidence to engage professionally with a wide range of people and stakeholders
A calm, practical and proactive approach to problem-solving, with the ability to manage competing priorities in a busy environment
Confidence using the Microsoft Office suite and the ability to quickly learn and adapt to new systems and technologies
A relevant qualification in business, administration, operations, human resources, finance or a related field (desirable)
