POSITION OVERVIEW n
We are seeking an experienced Contracts Administrator to support the delivery of a upcoming hyperscale data centre project in Tarneit. You will oversee financial management, including budget setup and reporting, progress claims, payment processing, and subcontractor procurement, ensuring strong cost control and alignment with project estimates.

RESPONSIBILITIES nn
- Collaborate with Project Managers on financial activities.
n
- Review Bill of Quantities including agreed Value Management Items and set up project budgets,
ensuring accuracy and seeking clarity where alignment with estimates is not achieved
n
- Implement and maintain financial tools.
n
- Process financial tasks according to Hickory's Financial calendar.
n
Reporting nn
- Provide accurate, timely financial reports.
n
Progress Claims nn
- Submit progress claims promptly.
n
- Monitor and expedite payments.
n
Payments and Supplies nn
- Administer site payments and supplies.
n
- Process payments in financial software (e.g., Cheops).
n
Contract Management nn
- Manage subcontractor tendering and contracts.
n
- Maintain subcontractor records and insurances.
n
- Conclude final accounts and release securities.
n
Commercial and Risk Management nn
- Analyze tender documents and contracts.
n
- Identify and mitigate commercial risks.
n
- Consult on potential claims and disputes.
n
Procurement nn
- Prepare and manage subcontractor agreements.
n
Contract Administration nn
- Oversee contract administration.
n
- Track milestone events and dates.
n
- Liaise with stakeholders and manage extensions of time.
n
Contractual Compliance nn
- Ensure compliance with insurance and contractual requirements.
n
- Submit necessary notices and claims.
n
Design Management nn
- Review contract documents and project requirements.
n
- Manage design issues and assess impacts on timelines and costs.
n
- Document site progress.
n
Project Support nn
- Collaborate with design consultants.
n
- Ensure effective use of Dynamics 365.
n
- Prepare handover manuals.
n
- Assist Project Manager in achieving Practical Completion.
n
TO BE SUCCESSFUL IN THE ROLE nn
- Bachelor of Construction Management, Engineering, Architecture, Project Management or equivalent.
n
- Minimum of 5 years' experience in a similar role within the commercial construction industry.
n
- Experience in large-scale construction projects.
n
- Experience in successfully negotiating complex contracts with a variety of stakeholders, including trade contractors, suppliers and clients.
