About the Role:

Echuca Regional Health is seeking a motivated, professional, and experienced Administration Assistant to join our Executive Administration team. The Executive Administration Assistant role provides high level administrative support to ensure the efficient and effective operation of Executive portfolios. The role is responsible for managing a diverse range of administrative tasks, coordinating priorities, and supporting the achievement of organisational deadlines. Operating with a high degree of professionalism, discretion, and confidentiality, this varied role plays a key role in supporting executives.

The position offers the opportunity to make the role your own by identifying and implementing process improvements that enhance efficiency and support the delivery of outstanding administrative services to both internal and external stakeholders.

To be successful in this role, you will demonstrate advanced proficiency in Microsoft Office applications, exceptional organisational skills, and competing priorities in a fast-paced environment.

Key responsibilities include:

· Arranging meetings and appointments for Executive Directors.

· Coordinating staff reward and recognition programs and events.

· Coordinating annual staff service award programs and events.

· Maintaining executive action registers and monitoring deadlines.

· Providing administrative support to internal meetings,



including agenda preparation and minute taking.

· Triaging incoming correspondence and telephone enquiries.

· Assisting with invoice coding and processing.

· Coordinating accommodation and travel bookings in accordance with policy.

· Processing Oracle orders, including uniforms.

· Coordinating internal catering requests.

· Supporting policy and procedure review processes.

· Providing Executive Assistant leave coverage and project support as required.

Qualifications/experience required:

· Previous experience in a high-level administrative or executive support role.

· Strong planning, organisational and time management skills.

· Demonstrated ability to manage multiple priorities and meet deadlines

· Excellent verbal and written communication skills with strong attention to detail.

· Proven ability to maintain confidentiality and exercise discretion.

· Experience preparing agendas, minutes and other executive documentation.

· Advanced computer skills, including Microsoft Office applications, Canva and Adobe Acrobat.

· Ability to work both independently and collaboratively within a team setting.

· Experience within a healthcare setting will be highly regarded.
