About the Role The Administration Assistant provides day-to-day administrative and organisational support to ensure the effective operation of Three Rivers Regional Assembly Aboriginal Corporation.

The role supports staff, management and Board activities through accurate record keeping, document preparation, meeting coordination, data entry, correspondence, filing and general office administration. The Administration Assistant will also provide support across TRRA programs, projects, grants and community activities as required.

The position requires a high level of organisation, confidentiality, attention to detail and the ability to work respectfully with Aboriginal communities, Elders, staff, partner organisations and other stakeholders.

Key Responsibilities

General Administration

- Provide day-to-day administrative support to TRRA staff and management.

- Answer and direct telephone calls, emails and general enquiries.

- Prepare correspondence, letters, reports, forms, agendas and other documents.

- Maintain electronic and hard-copy filing systems.

- Assist with scanning, photocopying, printing and document management.

- Maintain registers, spreadsheets, contact lists and organisational records.

- Assist with ordering office supplies and maintaining general office resources.

- Coordinate incoming and outgoing correspondence.

- Maintain confidentiality of organisational, staff and community information.

Events and Community Activities

- Assist with administration and logistics for community meetings, workshops, gatherings and events.

- Support venue bookings, catering, travel, accommodation and participant registrations where required.

- Prepare attendance sheets, event packs, agendas and other materials.

- Assist with collating participant feedback and event documentation.

Travel and Diary Coordination





- Assist with staff travel bookings, accommodation and itineraries.

- Coordinate appointments and meetings as required.

- Maintain organisational calendars and assist staff with scheduling.

Data and Information Management

- Enter and maintain accurate information in organisational systems, spreadsheets and databases.

- Assist with maintaining SharePoint and other electronic filing systems.

- Ensure documents are appropriately named, filed and stored.

Key Working Relationships The Administration Assistant will work closely with:

- Chief Executive Officer

- TRRA management and staff

- Aboriginal community members and Elders

- Contractors, suppliers and service providers

- Community and project partners

Essential Selection Criteria The successful applicant will demonstrate:

- Good administrative and organisational skills.

- Strong written and verbal communication skills.

- Ability to manage multiple tasks and meet deadlines.

- Good attention to detail and accuracy.

- Ability to maintain confidentiality and handle sensitive information appropriately.

- Ability to work both independently and as part of a team.

- Good computer skills, including Microsoft Word, Excel, Outlook and related Microsoft Office applications.

- Ability to maintain accurate electronic and paper-based records.

- Professional and respectful communication skills.





- Ability to build positive working relationships with Aboriginal community members, staff and external stakeholders.

- Understanding of, or willingness to develop an understanding of, Aboriginal cultures, communities and culturally safe working practices.

Desirable Criteria

- Previous experience in administration, reception, project administration or a similar role.

- Experience working within an Aboriginal community-controlled organisation, not-for-profit organisation or community service setting.

- Experience using SharePoint, OneDrive or similar document management systems.

- Experience assisting with meetings, events, grants, projects or reporting.

- Experience with basic finance administration, invoices and purchase orders.

- Current NSW Driver Licence.

The position will involve interaction with Aboriginal Elders, community members and organisations, and the successful applicant must demonstrate respect for community protocols, cultural knowledge and confidentiality.

Other Duties The Administration Assistant may be required to undertake other reasonable duties consistent with the position and operational needs of TRRA.
