This is a hands-on and fast-paced position working directly alongside our Construction Manager.
The role combines construction administration, executive support, project coordination, operational reporting and day-to-day construction support.
You will play a central role in keeping our construction projects organised and moving forward by ensuring actions are followed up, information is communicated between relevant parties, documentation is maintained, and the Construction Manager has clear visibility across active projects.
This position would suit someone who understands the demands of residential construction and enjoys being highly organised, solving problems and staying one step ahead. Furthermore, this role may be of interest to parents who are looking to return to work but also want flexible hours that allow them to drop off/pick-up kids from school.
You will need the confidence to follow up outstanding matters, communicate with multiple stakeholders and take ownership of administrative and coordination tasks.
Key Responsibilities
Your responsibilities will include
- Provide high-level administrative and executive support to the Construction Manager.
- Assist with the day-to-day coordination of residential construction projects across Melbourne and Victoria.
- Prepare and maintain the Construction Manager's daily schedule, meetings, priorities and outstanding actions.
- Provide daily operational and project updates to the Construction Manager.
- Maintain an accurate action register, following up outstanding items and ensuring key actions are completed within required timeframes.
- Monitor project progress and identify items requiring attention, escalation or follow-up.
- Assist with construction documentation, project records, trackers, reports and internal management systems.
- Coordinate meetings, prepare agendas and assist with recording and following up actions.
- Maintain regular communication with the Construction Manager regarding project status, priorities and outstanding matters.
- Coordinate communication between the Construction Manager and other departments, including administration, design, estimating and management.
- Assist with communication and coordination involving trades, suppliers and other project stakeholders where required.
- Follow up documentation, approvals, selections, variations and other construction-related information.
- Assist in maintaining accurate project files and ensuring important construction documentation is readily available.
- Support the Construction Manager with reporting across active projects.
- Proactively identify potential delays, administrative gaps or communication issues before they impact project delivery.
- Assist with developing and improving internal construction processes, systems, checklists and reporting procedures.
- Help ensure projects continue progressing efficiently from commencement through to completion and handover.
About You We are looking for someone who is highly organised,
proactive and comfortable working in a fast-moving residential construction environment.
Ideally, you will have:
- Previous experience within the residential building or construction industry.
- Experience in construction administration, project administration, building coordination or a similar role.
- Experience supporting a Construction Manager, Building Manager, Site Manager or senior construction skilled.
- Strong administrative and organisational capabilities.
- Excellent written and verbal communication skills.
- Strong Microsoft Office skills, particularly Outlook, Word and Excel.
- The ability to manage multiple projects, priorities and deadlines simultaneously.
- Strong attention to detail and an ability to maintain accurate records.
- Confidence communicating with trades, suppliers, consultants, clients and internal departments.
- A proactive and forward-thinking approach to your work.
- Strong interpersonal skills and the ability to work effectively across multiple departments.
- The confidence to follow up people and outstanding actions without needing constant direction.
- An understanding of residential construction terminology, processes and project stages.
- The ability to work independently while maintaining close communication with the Construction Manager.

Pay: $30.97 – $41.14 per hour
Expected hours: 25.0 per week
