About the Role

AHP is seeking an experienced Clinic Coordinator to join our team at the AHP Wellness Centre at Rathdowne Place in Carlton. This is a hands-on role for someone who enjoys being the go-to person and taking ownership of the day-to-day operation of a busy clinical environment.

As the Clinic Coordinator, you will be the welcoming face of the clinic and the key point of coordination between clients, families, clinicians, referral partners and AHP's broader administration, finance and operations teams.

You will manage the end-to-end client experience, from responding to enquiries and coordinating referrals and appointments through to processing payments, while ensuring the clinic runs smoothly and clinicians have the support they need to deliver high-quality services.

Key Responsibilities

» Manage the day-to-day operation of the clinic, providing a welcoming and professional experience for clients and visitors » Manage end-to-end client journey,



from responding to enquiries and coordinating referrals and appointments through to processing payments

» Coordinate client bookings, rooms, equipment, and clinician schedules to support the smooth operation of the clinic

» Manage incoming referrals and coordinate the referral and intake process, ensuring clients are appropriately allocated and followed up

» Maintain accurate client, administrative and financial records in line with AHP processes

» Liaise professionally with clients, families, clinicians, case managers, support coordinators and referral partners

» Work closely with AHP’s clinical, finance and operations teams to resolve issues and support effective clinic operations

About You

To be successful in this role, you'll be organised, reliable and personable, with a proactive approach to supporting clients, clinicians and the wider clinic.

You will ideally have

» Previous experience in clinic coordination, medical reception, practice administration or similar role

» Experience working within an allied health, medical, aged care or similar healthcare environment is desirable

» The ability to work autonomously and take ownership of your responsibilities

» Strong organisational and time management skills, with the ability to manage multiple priorities





» Confident managing client enquiries, bookings, payments and competing priorities in a busy clinical environment

» Solid attention to detail and a commitment to keeping records accurate and up to date

» A professional and approachable manner, with a genuine focus on providing a positive client experience
