BIC Consolidated is an established facilities and cleaning services provider delivering commercial cleaning and related facilities management services across Australia.

We are seeking an experienced Contract Administrator to join our Canberra operations. This is an excellent opportunity for a commercially focused professional to play an important role in the administration, coordination and performance management of our service contracts.

The successful candidate will work closely with clients, contractors, suppliers, operational teams and internal management to ensure contractual obligations, service standards and business requirements are effectively delivered.

About the Role

As Contract Administrator, you will be responsible for the day-to-day administration and coordination of commercial service contracts, supporting operational teams and management while maintaining strong relationships with key stakeholders.

Key Responsibilities

● Administer and coordinate the day-to-day requirements of commercial service contracts.

● Monitor contract performance against contractual obligations, KPIs, service standards and agreed requirements.

● Review contracts, service specifications and contractual requirements and ensure relevant obligations are communicated to operational teams.

● Manage contract-related enquiries, client complaints and service issues and coordinate appropriate responses.

● Assist with contract claims, negotiations, variations, modifications, extensions and renewals.

● Assist with resolving contractual disagreements and disputes involving clients, contractors and suppliers.

● Review proposed changes to agreements, plans, initiatives and services and assist with implementing approved changes.

● Monitor contractual compliance with applicable legal, regulatory and company requirements.

● Assist management with preparing,



monitoring and reviewing operational budgets associated with contracts.

● Liaise with suppliers, contractors, clients and other stakeholders to maximise contract value and minimise contractual and operational risks.

● Identify potential risks associated with contract terms and service delivery and report significant issues to management.

● Provide management with advice regarding contractual matters, service performance, risks and areas requiring attention.

● Maintain accurate and current records of contracts, variations, claims, correspondence, approvals and other contractual documentation.

● Participate in internal reviews, contract audits and compliance activities and identify areas for improvement.

● Coordinate and follow up authorised corrective actions arising from contract reviews and audits.

● Prepare contract performance reports, correspondence and other relevant documentation.

● Work with operational management and site teams to ensure contractual requirements are effectively implemented.

● Assist management with contract renewals, extensions and other ongoing contract administration activities.

Skills & Experience To be successful in this role, you will have:

● Demonstrated experience in contract administration or commercial administration.

● Experience working with commercial or service contracts.

● An understanding of contract variations, claims, negotiations and contractual compliance.

● Strong communication and stakeholder management skills.

● Strong analytical,



organisational and problem-solving skills.

● Excellent attention to detail and document management skills.

● The ability to manage multiple contracts, stakeholders and competing priorities.

● Experience in facilities management, cleaning services, property services or another service-based industry will be highly regarded.

● Proficiency in Microsoft Office and relevant business or contract management systems.

Qualifications A relevant qualification in Contract Administration, Business Administration, Commercial Management, Project Management or a related field is desirable.

Relevant practical experience in contract administration will also be considered.
