There are Executive Assistant roles where you manage a diary. And then there are roles where you become the person who quietly makes everything work.
We're partnering with a high-profile Melbourne organisation to find an experienced Executive Assistant who will support two senior executives in a complex, fast-moving environment.
This is a role for someone who is genuinely brilliant at the craft of executive support. Someone who is several steps ahead, knows what needs attention before being asked, can manage competing priorities without creating noise, and understands that the best EAs don't simply pass problems upwards, they solve most of them first.
You'll be supporting two senior leaders with very different demands on their time, while working across Board, governance, stakeholder, operational and organisational priorities.
What you'll be accountable for
You'll take ownership of complex diary and calendar management, travel, meetings, executive correspondence, briefing papers, presentations and day-to-day coordination across two busy executive offices.
Board and governance support will be an key part of the role. You'll coordinate meetings, agendas, papers, minutes, action registers and follow-up, while ensuring information moves smoothly between senior leaders, Board members and internal stakeholders.
You'll also act as a key point of contact for a broad range of people, from senior internal leaders through to external stakeholders, partners, VIPs and supporters. Judgement matters here. So does discretion.
There is also a practical office coordination component, including oversight of reception and shared office services,
but the heart of this role is senior executive support.
The capability we're looking for
You'll have strong experience supporting senior executives, ideally across more than one leader, and be exceptional at prioritisation, diary management and keeping complex work moving.
You'll be confident preparing Board and executive documentation, comfortable handling sensitive information, and able to communicate clearly and professionally with people at all levels.
You'll also be highly capable with Microsoft 365 and comfortable learning new systems quickly.
Previous experience in the arts is not essential. We're equally interested in people from environments such as professional services, sport, media, luxury, education, entertainment or other organisations where stakeholders are senior, visible and occasionally complex.
The attitude that will make you successful
You'll be warm, switched-on and deeply organised.
You'll know how to manage up without making it feel like you're managing up.
You'll be confident enough to say, I've sorted that, rather than bringing ten questions when only two genuinely need an executive decision.
You'll be discreet, calm under pressure and comfortable navigating competing personalities and priorities. You'll also have the emotional intelligence to know when to step in, when to push, and when to simply make something happen behind the scenes.
This role is based onsite in Melbourne, five days per week. There is some flexibility around working hours, with the role typically operating around a 10am to 6pm rhythm.
