We are seeking a reliable, organised and security-conscious Internal Mail & Records Administration Officer to join our team. This hands-on role is responsible for the secure handling, distribution, administration and management of physical and digital records, correspondence and mail services within a skilled client environment.

About The Role

As a member of the Grace Records Management team, you will be providing hands on support on a daily basis to ensure our client contractual obligations are met, working onsite with a major client 38 hours per week at Ashmore.

- Receiving, sorting and distributing incoming mail and correspondence.
- Preparing and dispatching outgoing mail, parcels and documents.
- Processing incoming and outgoing records in accordance with established procedures.
- Operating document scanning equipment, including high-speed, flatbed and large-format scanners.
- Managing confidential, registered and sensitive correspondence in line with security protocols.
- Maintaining electronic tracking systems and accurate records of mail and document movements.




- Conducting internal document and mail delivery rounds.
- Delivering records and correspondence between approved locations when required.
- Filing, archiving and maintaining records in accordance with information management policies and retention schedules.
- Identifying and escalating discrepancies, security concerns or process issues.
- Completing all required documentation accurately and in a timely manner.
- Supporting compliance audits and information security requirements.
- Liaising with internal stakeholders and external service providers to ensure seamless service delivery.

About You To be successful in this role, you will demonstrate:

- Excellent attention to detail and a strong commitment to accuracy.
- Experience in records management, mailroom operations, administration or document processing.
- Strong data entry and computer skills with the ability to learn specialised systems.
- The ability to follow established procedures, compliance requirements and security protocols.
- High levels of integrity, professionalism and discretion when handling sensitive information.
- Strong organisational and time-management skills with the ability to meet deadlines.
- Effective verbal and written communication skills.
- A proactive approach to problem solving and continuous improvement.




- The ability to work independently while also contributing positively to a team environment.
- A current driver's licence.
