HIRING: PERSONAL EXECUTIVE ASSISTANT & FAMILY SCHEDULE COORDINATOR In person | Slacks Creek, Logan
Monday to Friday | Approximately 7:30–9:30 am
Starting at 10 hours per week, with additional hours available
I’m looking for a highly reliable, organised and proactive person to become the administrative “second brain” for me and my busy family.
This is more than a standard personal-assistant role. I need someone who can gather information coming from multiple platforms, identify what needs action, and turn it into one clear, coordinated family schedule.
I’m a mum caring for six children, so there are multiple school calendars, activities, appointments, family commitments and moving parts to manage. We already have a wonderful live-in family assistant who manages much of the practical household flow. This new role will own the information, scheduling, administration and follow-through behind it.
HOW THE MORNINGS WILL WORK
You’ll arrive at approximately 7:30 am, Monday to Friday.
The first hour will usually be spent working directly with me to:
- Review my schedule and the children’s schedules
- Confirm the priorities for that day
- Identify anything requiring my decision
- Find and resolve calendar clashes
- Capture new tasks or commitments
- Body-double me through administration that requires my direct involvement
- Make sure I begin the day knowing exactly what matters
You’ll then continue independently with focused administration and follow-up while I go to the gym.
Some work may be completed remotely after the initial morning block. Additional hours may also be available for larger administration tasks, appointments or errands.
THE ROLE WILL INCLUDE
- Daily email and inbox management
- Monitoring school portals, school emails and notifications
- Checking relevant WhatsApp, Facebook Messenger, text and activity-group communications
- Managing my personal calendar
- Coordinating six children’s individual calendars
- Maintaining one accurate overall family schedule
- Adding appointments, school events, sports, deadlines and preparation reminders
- Identifying clashes, transport issues and missing information before they become problems
- Making and rescheduling appointments
- Drafting and responding to emails
- Making follow-up phone calls
- Tracking forms, payments, permissions and significant school deadlines
- Ensuring I receive enough notice to attend important events
- Maintaining an open-loops and follow-up system
- Following tasks through until they are actually completed
- Communicating practical schedule information clearly to our live-in family assistant
- Managing online orders, returns, refunds and children’s school stock
- Completing occasional errands such as post-office returns or local collections
- Attending one weekly administration block with me at my mum’s home
- Looking ahead weekly to identify upcoming pressure points, deadlines and preparation needs
WHO I’M LOOKING FOR
This role would suit an experienced EA or PA seeking consistent part-time hours, who is reliable, punctual, has transparent communication, easily adaptable, can distinguish what is urgent, able to managing multiple calendars and will finish a task to completion, confident making phone calls and will learn to problem solve independently.
We need a highly capable administrator who prefers meaningful work with one family in a busy home rather than a corporate environment but respects privacy, confidentiality and clear family boundaries.

- Available in person in Slacks Creek at approximately 7:30 am, preferably five weekdays per week
- Strong attendance and punctuality
- Excellent attention to detail
- Confident calendar and inbox management
- Comfortable making telephone calls
- High level of discretion
- Strong references
- A current Blue Card or willingness and eligibility to obtain one
- Driver’s licence and reliable transport
WHAT SUCCESS LOOKS LIKE
I start each day knowing what is happening and what needs my attention.
The family calendar is accurate.
Important events and deadlines do not slip through.
Calendar clashes are identified early.
The right information reaches the right person.
Tasks are followed through without me needing to repeatedly remember, prompt or check them.
Ultimately, I’m looking for someone who can become a trusted, organised and reliable second brain for our family.
