The Administration team are key members of the Practice and are responsible for providing high quality patient centred clinical care through respectful and professional running of the front office and reception.
This position is available for an immediate start and is full time with the option of 4 days per week being considered for the right candidate.

Key Responsibilities:
Client Interaction:
- Greet clients and visitors, ensuring a welcoming and safe environment.
- Manage appointment bookings, cancellations, and rescheduling using PracSuite software.
- Communicate with clients regarding appointments, including confirmations and follow-ups.
Administrative Support:
- EFTPOS, and other payments, following the Practice's billing policies.
- Issue billing, accounts, and receipts accurately.
- Reconcile appointments and manage Medicare/NDIS claims using PracSuite.
- Manage recall lists, follow-ups with waiting list clients, and maintain accurate client records.
Collaboration with Clinicians:
- Schedule appointments efficiently, ensuring clinicians' time is maximised.
- Consult with clinicians for same-day or urgent appointments.
- Work with clinicians to re-engage disengaged clients.
Office Management:
- Perform general duties like managing office supplies, maintaining cleanliness, and ensuring the smooth operation of the Practice.
- Regularly scan, upload, and distribute confidential documents as required.
Process Improvement:
- Contribute to the creation and documentation of processes and procedures for the reception manual.
Teamwork and Compliance:
- Collaborate with the Administration Team and other staff.
- Attend team meetings and adhere to all Practice policies and procedures.
- Perform other duties as directed by the Practice Manager, Clinicians, and Directors.
