What you'll do
- Provide general administrative support to the Facilities Manager
- Act as the first point of contact for visitors including VIPs and service staff
- Manage incoming and outgoing mail as well as couriers
- Maintaining accurate records and reconciling monthly invoicing
- Oversee the internal security system by issuing staff and visitor security passes, keeping up-to-date records, and conducting regular audits
- Provide 1st and 2nd line desk side support
- Undertake deployment refresh of IT equipment
- General maintenance of all IT equipment
- Follow Service Request ticket management process
- Work closely with IT groups to resolve incidents/requests
- Liaise with base building management and vendors regarding office maintenance issues
- Monitor and order office supplies and stationery
- Support teams with catering arrangements and meeting room preparation
- Oversee the presentation and readiness of meeting rooms
- Ensure the office remains consistently clean, safe, and fully stocked through proactive daily checks
- Monitor kitchen appearance, stock requirements, dishwashers etc.
- Support the Joiner/Mover/Leaver process for staff transitions within the organisation
- Participate in ad-hoc projects as required by management
What you bring:
- Demonstrated experience in an administrative role in a corporate setting
- Professional presentation skills
- A positive can do attitude
- Proficiency with Microsoft Word, Excel, PowerPoint, or similar tools
- Ability to work both autonomously on tasks as well as collaboratively
- Excellent communication skills-both written and verbal
- Strong attention to detail when handling sensitive information or managing multiple responsibilities
- Effective time-management skills
