Office Manager/ Personal Assistant

Be the organisational hub of a respected national industry association.
The Shopping Centre Council of Australia (SCCA) is the national industry group representing Australia’s major shopping centre owners, managers and developers. We are seeking a highly organised, proactive and trusted Office Manager / Personal Assistant to support our Chief Executive and keep our small, high-performing team running smoothly.
The opportunity
This broad and varied role combines executive support, office operations, governance, finance administration, event delivery and stakeholder liaison. You will work closely with the Chief Executive, Board, members and external partners, exercising sound judgement, discretion and initiative. It is an ideal opportunity for someone who enjoys taking ownership, balancing competing priorities and contributing across an organisation.
Key responsibilities
- Provide confidential executive support, including diary, travel, meeting and correspondence management.
- Manage day-to-day office operations, systems, suppliers, records, technology and team administration.
- Coordinate Board meetings, the Annual General Meeting, governance records, reporting obligations and audit activities.
- Support budgeting, invoicing, accounts administration, cash-flow monitoring and liaison with accountants and auditors.
- Deliver major SCCA programs and events, including the Marketing Awards and Frank Lowy Fellowship.
- Coordinate industry meetings and forums, including venues, sponsorship, stakeholder liaison, papers and minutes.
- Maintain positive relationships with members, government representatives and other external stakeholders.
- Manage the SCCA inbox and keep the corporate and awards websites current.
This role is permanent, full-time.
Offices are based in Sydney CBD.
What sets you apart
- Demonstrated experience as an Personal Assistant, Office Manager or in a similarly broad coordination role.
- Experience in a small/medium organisation or industry association will be highly regarded.
- Excellent planning, prioritisation and time-management skills, with the ability to work independently.
- Solid written and verbal communication skills and a professional, service-focused approach.
- Proven experience coordinating structured meetings and events.
- High attention to detail, sound judgement and an unwavering commitment to confidentiality.
- Confidence using Microsoft Office; experience with MYOB, WordPress and Wix will be highly regarded.
- A collaborative, reliable and adaptable style suited to a small team.
