Refugee Legal is an independent community legal centre, we specialise in refugee and immigration law, policy and practice. Refugee Legal has been assisting asylum seekers, refugees and disadvantaged migrants in the community and in detention for over 38 years.
Refugee Legal’s work involves providing legal assistance to those who could not otherwise obtain it due to financial and other forms of disadvantage, often related to their cultural or linguistically diverse backgrounds or experiences of torture and trauma.
Their greatest need is for legal permission to stay in safety in Australia, and to reunite with family. That’s what we focus on.
The role
Reporting to the Business Manager, as Office Manager you will play a critical hands-on role in leading the administration team and ensuring the delivery of high-quality administrative support that underpins Refugee Legal's daily operations. As a working manager, you will balance team leadership with direct involvement in frontline administrative functions, including reception, client enquiries, and general office administration.
Key responsibilities include:
- Supervising and assigning tasks to our frontline administration staff and volunteers in their roles. Providing ongoing support and training to the administration team, ensuring high-quality work and levels of engagement.
- Primary point of contact for the frontline administration team regarding any questions in relation to the administration teams duties and responsibilities.
- Handle day-to-day data entry of information into file and database systems to ensure accurate and prompt recording of client and administrative matters.
- Assist with client follow-up,
including email correspondence, organising appointments and booking of interpreters.
- Answer phone calls promptly, handle client and general queries by telephone, email or in person. Warmly welcoming clients and other visitors.
- Prepare and distribute general office correspondence, general information about Refugee Legal services or internal policies and procedures.
- Supervise the office environment, including room bookings and ordering/replenishing office supplies, equipment and amenities.
This is a fixed term 12-month, full time position based in our Melbourne CBD office.
What you’ll need to successfully apply To be successful, you will need to positively respond to the below selection criteria:
- Prior experience within an Administration, Assistant or Office Manager position; within community, legal or not-for-profit organisations is beneficial but not required.
- Demonstrated ability to lead, supervise and engage a small team
- Strong administrative skills with high levels of attention to detail, plus capable with common computer systems like Microsoft Office 365.
- Excellent organisational and time management skills, with the ability to set priorities, manage workload, work under pressure, and meet deadlines with limited supervision.
- Highly developed telephone, written, oral communication and interpersonal skills, with a focus on providing strong customer service.
- An understanding of the importance of and adherence to confidentiality.
