QUICKCORE Grooving & Grinding is seeking a reliable, organised and highly proactive Office Manager to manage the day-to-day administration, accounts administration and general office operations of the business.
This is a hands-on role suited to someone who can manage multiple priorities, communicate confidently with customers, staff and suppliers, and take ownership of administrative and accounts-related tasks from start to finish.
We are looking for someone who does not need to be constantly directed. The right person will identify what needs to be done, follow up outstanding matters, stay on top of deadlines and proactively keep the office and administration running smoothly.
Previous office administration or office management experience is preferred. Experience in construction, civil works, trades or a similar business environment is highly regarded.
Key Responsibilities
- Manage day-to-day office administration
- Answer phone calls, emails and customer enquiries
- Prepare and send quotes, invoices, purchase orders and general documentation
- Process customer invoices and supplier invoices
- Manage accounts receivable and proactively follow up outstanding customer payments
- Process payroll and timesheets
- Maintain employee payroll, leave and employment records
- Maintain accurate customer, supplier, job and project records
- Assist with job scheduling and coordination
- Liaise with customers, employees, suppliers and subcontractors
- Process receipts, expenses and general accounts administration
- Perform day-to-day accounts administration using MYOB
- Perform basic account reconciliations
- Maintain accurate financial records and supporting documentation
- Provide financial records and information to management and accountants as required
- Coordinate employee onboarding and staff documentation
- Maintain WHS, compliance, insurance and company records
- Manage vehicle, equipment, registration and servicing records
- Order office and operational supplies
- Liaise with accountants, bookkeepers and other external service providers
- Keep management updated on outstanding jobs, payments, payroll and administrative matters
- Proactively identify outstanding tasks, issues and deadlines before they become problems
- Follow up customers, suppliers and staff where required without needing constant direction
- Assist with improving internal processes and office systems
- Provide general administrative and operational support to management
Skills & Experience We are looking for someone who is organised, dependable and confident handling office administration, invoicing, payroll and general accounts functions.
Required:
- Previous experience in office administration, office management or a similar role
- Practical working experience with MYOB
- Experience preparing and issuing invoices
- Experience processing supplier invoices and expenses
- Experience with accounts receivable and following up outstanding payments
- Experience processing payroll and timesheets
- Experience maintaining accurate financial and employee records
- Strong working knowledge of Microsoft Outlook
- Strong working knowledge of Microsoft Word
- Strong working knowledge of Microsoft Excel
- General Microsoft 365 and computer literacy
Highly regarded:
- Experience with Xero
- Experience in construction, civil works, trades or contracting
- Experience preparing quotes and purchase orders
- Experience with WHS, compliance and employee administration
- Experience liaising with accountants or bookkeepers

Pay: $75,000.00 – $85,000.00 per year
Ability to commute/relocate
- Sefton NSW: Reliably commute or planning to relocate before starting work (Required)
