Orthopaedics 360 is a boutique private surgical practice based at Eastwood Private Hospital. We are a small team with high standards, and we invest properly in the systems that make the work easier. This role is based at our Eastwood rooms, with no travel between sites.

The role

This is a full time Personal Assistant role supporting Dr Luke Mooney, a hip and knee surgeon whose practice covers joint replacement, reconstruction and keyhole surgery. Joint replacements are planned in advance and performed with robotic assistance, so the surgical side of the practice is busy, precise and well run. We want the administration side of the practice to be just as organised.

You will be the person patients deal with from their first phone call through to their final review. You will manage the surgeon's diary, coordinate every operation, and keep the patient informed and reassured at each step. It is a role with real ownership, and the right person will make it their own.

You will work closely with Dr Mooney every day, and in a practice this size the PA is not a back-office administrator. You have a direct hand in how the practice runs and how patients experience their surgery.

The role starts on Monday 30 November 2026, with a proper handover alongside our current Personal Assistant before they finish. You will not be working the systems out on your own.

What you will do

- Manage Dr Mooney's diary across consulting, operating and off-site clinics

- Coordinate surgery end to end: theatre lists, implant and equipment bookings, pre-operative imaging and pathology, anaesthetic arrangements

- Act as first point of contact for patients, GPs, hospitals, health funds and other specialists

- Prepare patients for surgery, including informed financial consent and admission paperwork

- Manage billing for private, public and self-funded patients,



reconcile payments and follow up outstanding accounts

- Keep patient records accurate and complete in Xestro

- Support the wider administration team and cover colleagues when needed

What we are looking for

- Experience in medical rooms or as a personal assistant in a healthcare setting is essential.

- Warmth. Patients arranging surgery are often anxious, and how you speak to them matters as much as what you organise.

- The ability to hold several urgent things at once and drop none of them.

- Working knowledge of Medicare, health fund and hospital billing. Desirable, and we will train the right person.

- Xestro experience is a bonus but not required.

- Confident with computers and quick to pick up new software. The PA station runs Windows, and we change our tools when something better comes along.

- Discretion and attention to detail, without exception.

- Confidence working independently and managing your own priorities.

What we offer

- $70,000 to $80,000 plus superannuation, depending on experience

- Monday to Friday, 38 hours, 9:00am to 5:00pm. Occasional overtime on clinic days.

- Based at our Eastwood rooms, free secure undercover parking, no travel between sites

- Formal reviews at 6 and 12 months, then annually
- A handover with the current PA, plus training and support from an experienced administration team
