About the role
As our Program Coordinator, you’ll work closely with the Program Manager to coordinate the day-to-day delivery of the program. You’ll also provide guidance and support to our Learning Support Mentors, helping them succeed and ensuring consistent, trauma-informed and child-focused practice.
This position is a hands-on coordination role where no two days are the same: you’ll be the connector between students, carers, mentors and stakeholders, ensuring sessions run smoothly, communication stays warm and clear, and the detail is always captured.

This position is particularly suited to graduates or professionals from youth work, psychology, social sciences, education, law, or community services who are looking to make a meaningful impact through program coordination and stakeholder engagement.
What you’ll be doing
Mentor Coordination & Program Delivery
- Maintain weekly communication with Learning Support Mentors
- Coordinate scheduling, manage changes, and minimise cancellations
- Identify issues early and escalate where needed
- Ensure compliance with program requirements including:
- timely data entry
- accurate timesheets
- appropriate session use and completion of make-up sessions
- Provide performance support to mentors, Including:
- training completion
- quality control of session summaries
- adherence to policies, values and professional conduct
- attendance, communication and trauma-informed language
Relationship & Stakeholder Management
- Assist in building positive working relationships with foster carer families, CSOs, foster agencies and teachers;
- Make regular check-in calls and maintain supportive, proactive communication; and
- Record all phone calls and contacts and seek input/escalate to the Program Manager when required.
Student onboarding & admin that keeps everything running
- Respond to enrolment enquiries and assist with student onboarding
- Support onboarding and processing using Ezi Debit and DocuSign
- Open new files and maintain accurate records in Smokeball and the CFYF Learners portal/database
- Process applications and issue template letters
- Ensure calls/meetings are recorded in Smokeball and the CFYF Portal
- Collaborate with the General Manager as required on program matters
Role Requirements
- Excellent verbal and written communication skills
- Robust administrative and organisational skills with exceptional attention to detail
- Proven ability to manage multiple tasks and priorities effectively
- Confidence using various systems and databases. Experience in Smokeball is highly regarded.
- Understanding of trauma-informed practice and child-focused communication
- Knowledge of (or willingness to build knowledge of) the child protection system
