Council is looking for a Program Support Officer to join our Infrastructure Planning team in a permanent full-time role. This is a great opportunity for an experienced administrative all-rounder who enjoys helping a team stay on track, keeping information accurate, managing inboxes, updating customer requests and using systems to support meaningful work for the Mackay region.

About This Opportunity

As Program Support Officer, you will provide hands-on administrative, technical and customer request support to the Infrastructure Planning team. You will be part of a supportive local government environment where accuracy, follow-through, communication and teamwork really matter.

This role will suit someone who enjoys variety, takes pride in being organised and likes being the person who can be trusted to keep records, requests, reports and systems moving in the right direction.

What You’ll Be Doing

- Checking and managing inboxes, referral emails and customer requests so information is captured, updated, tracked and followed through.
- Providing day-to-day administrative support to the team, including document control, record keeping, agendas, minutes, data entry and general coordination tasks.
- Preparing and supporting reports, spreadsheets and analysis using tools such as Microsoft Office 365, Power BI and other corporate systems.
- Helping the team coordinate information for projects, programs and stakeholders, including employees, consultants, contractors and members of the public.
- Using and maintaining information across systems such as SharePoint, MADI, Index Drawing, Pathways, ECM, CiAnywhere and related business platforms.
- Contributing to procedures, process improvements and better ways of working across program support activities.
- Building positive working relationships and providing helpful, customer-focused support across a wide range of enquiries and tasks.

What You’ll Bring To be successful in this role, you will ideally have:

- At least three years’ experience in a similar administrative, program support, technical support or customer-focused support role.

- Strong administrative skills, including the ability to manage inboxes, update records, track requests, maintain documents and keep information accurate.
- Confidence using Microsoft Office 365 and the ability to learn and work across corporate systems such as SharePoint, MADI, Index Drawing, Pathways, ECM, CiAnywhere and Power BI.
- Clear communication skills and a friendly, professional approach when working with customers, stakeholders and team members.
- Good attention to detail and the ability to prepare accurate correspondence, reports, agendas, meeting minutes and records.
- Sound research, analysis and problem-solving skills, with the ability to interpret information and support practical outcomes.
- Strong organisation and time management skills, including the ability to prioritise, manage competing deadlines and follow tasks through to completion.
- A positive, adaptable and resourceful approach, with the motivation to contribute as a reliable administrative all-rounder.
- A collaborative, customer-focused and tech-savvy working style, with a genuine willingness to help others and be part of a positive team environment.
- Basic knowledge of project-related software, project support activities or local government functions would be beneficial.
- A current QLD “C” Class Driver’s Licence or interstate equivalent. Interstate licences must be transferred to QLD within three months of commencement.

A Certificate in Business, Administration or a related discipline, or extensive experience in a similar administrative support role, will be highly regarded.
