Our client is looking for a Project Coordinator to take ownership of the Design Team's workflow — from job assignment through design production, QA, client review, consultant queries and final set-to-print.
It's a central, high-visibility role. You'll be the coordination point between our designers, outsource partners, consultants and clients — balancing workloads, keeping every pipeline moving, spotting risks before they become delays, and reporting on how the whole team is tracking week to week.
What you'll do
→ Manage the end-to-end design workflow pipeline
→ Assign jobs across internal and outsourced designers to keep workloads balanced
→ Monitor progress across every pipeline to prevent backlog
→ Follow up with clients to keep reviews and approvals on track
→ Flag inefficiencies and delays early, and help resolve them
→ Review outsourced work and provide feedback
→ Keep quality control aligned with compliance and legislative standards
→ Prepare weekly pipeline and workload reporting
What you'll bring
- Certificate IV or Diploma in Business or Project Management
- Experience in workflow coordination, operations, or project coordination
- A track record of juggling multiple tasks, timelines and stakeholders in a fast-paced workplace
- Strong organisational and planning skills, with intermediate project management capability
- Confident communication across clients, consultants and internal teams
- Intermediate Excel and PDF tools; intermediate CRM; basic HubSpot
- An analytical mindset, a strong commercial acumen and sharp attention to detail
- Comfort adapting as priorities shift
