INCIVCO Project & Construction Management is a growing specialist consultancy providing client-side project management, contract administration and Superintendent services across civil infrastructure and land development projects.

Following the award of several new projects, we are seeking an experienced Civil Project Manager or Contract Administrator to join INCIVCO and become an important part of the business’s continued growth.

The role is available on either a full-time or part-time basis, with flexible working arrangements available for the right candidate.

The opportunity

This role would suit a capable civil construction professional who can take ownership of day-to-day project delivery while working closely with the Director.

You will work across a varied portfolio of civil infrastructure and land development projects, coordinating and managing contractors and consultants, administering construction contracts, monitoring progress and maintaining effective project controls.

Our projects are located predominantly across Victoria and New South Wales, with further opportunities in Queensland and South Australia. The position will be Melbourne-based, with the opportunity to travel interstate and become directly involved in these projects if that is of interest.

Regular interstate travel is not essential, and the role can be tailored to suit the experience, availability and preferences of the successful candidate.

This is not simply an administrative or document-control position. We are looking for someone with the experience and confidence to manage routine project matters independently, communicate directly with clients and contractors,



and provide practical and commercially considered recommendations.

You will be joining INCIVCO at an important stage of growth, with the opportunity to influence how projects are delivered and help strengthen the company’s internal systems and processes.

Key responsibilities

- Supporting civil infrastructure and land development projects from design through construction, completion and handover
- Managing day-to-day communication with clients, contractors, consultants and relevant authorities
- Providing client-side project management, contract administration and Superintendent support
- Reviewing progress claims and preparing assessment recommendations
- Reviewing variations, extension-of-time claims and other contractual submissions
- Preparing professional project correspondence, reports and recommendations
- Managing requests for information, design clarifications and consultant responses
- Chairing project and site meetings and preparing transparent minutes and action lists
- Monitoring construction programmes, project risks, approvals and critical actions
- Undertaking site inspections and monitoring quality, progress, defects and close-out activities
- Preparing monthly project reports and client updates
- Maintaining project registers, correspondence and document-control systems
- Coordinating practical completion inspections, defects and handover documentation

About you

You will ideally have

- Approximately 3–5 years’ experience across civil construction, land development, engineering consultancy, contractor or client-side project management
- Experience as a Project Manager, Contract Administrator, Project Engineer or Superintendent’s Representative
- A sound understanding of civil construction, including earthworks, roads, drainage, utilities and associated infrastructure
- Experience reviewing progress claims, variations, programmes and contractual correspondence
- Strong organisational skills and the ability to manage multiple projects and competing priorities




- Clear written communication and confidence dealing directly with clients, contractors and consultants
- A practical, collaborative and commercially aware approach
- The ability to work independently while recognising when matters require escalation
- Strong project record-keeping and document-management practices
- Relevant qualifications in engineering, construction management, project management or a related discipline
- A current Australian driver’s licence and the ability to attend project sites when required

Experience with government projects, residential land development, client-side project management or formal Superintendent services would be highly regarded. An interest in occasional interstate travel would be welcomed but is not essential.

Flexible working arrangements

This position is available as either:

- Permanent full-time employment; or
- Permanent part-time employment, ideally with a minimum commitment of three days per week.
