At Direct Chemist Outlet, there's a lot happening behind every catalogue, promotion and campaign that lands in our stores.

Products. Pricing. Suppliers. Artwork. Deadlines. Approvals. Stores.

Someone needs to make sure all those moving pieces come together - and that's where you come in.

With 159 pharmacies across Australia and 42 promotional campaigns each year, we're looking for a highly organised Promotions Administration Coordinator who loves detail, takes ownership and isn't afraid to chase an answer when something doesn't look right.

If you love Excel, thrive on deadlines and get satisfaction from turning a complicated list into a beautifully organised one, you might love this role.

What you'll do

You'll sit at the centre of our promotional calendar, working across Marketing, Buying, Pricing, Operations, suppliers and external partners to keep campaigns moving.

· Own and maintain our Critical Path, keeping campaigns, milestones and deadlines on track.

· Build and maintain our Catalogue Advice Kits (CAKs), ensuring SKUs, products, prices, discounts and promotional dates are accurate.

· Coordinate supplier promotional submissions, artwork and supporting information.

· Follow up missing information - politely, persistently and without letting things disappear into the too-hard basket.

· Work with Nexus to upload promotions, reconcile information and resolve exceptions.

· Coordinate catalogue product mapping, agency briefs, artwork, proofs and approvals.

· Work with our online and channel teams to make sure promotions are loaded correctly and ready to launch.

· Manage Monday.com workflows and help coordinate Local Area Marketing requests.

· Spot potential issues early and work with the team to solve them before they become problems.

· Look for opportunities to make our processes simpler, smarter and more efficient.

You have a genuine can-do attitude

When something doesn't add up, you investigate it. When information is missing, you chase it. When there's a problem, you help find the solution.

You love the details A wrong SKU matters. A missed deadline matters. A promotional price that doesn't reconcile matters. You're naturally curious when something doesn't look right and aren't satisfied until you understand why.

You're seriously comfortable with Excel

Large spreadsheets don't intimidate you. Lookup formulas, PivotTables, reconciliations and data checks are tools you actually enjoy using. And if there's a faster or smarter way of doing something, you'll probably want to find it.

You're organised - but can handle organised chaos

With multiple campaigns running simultaneously, priorities can change quickly. You can keep track of lots of moving pieces without losing sight of the detail.

You're comfortable chasing people

Sometimes getting a campaign over the line means following up a supplier, colleague or agency more than once. You're friendly and collaborative - but you're also persistent.

You choose bravery over perfection

You don't wait until you know everything before giving something a go. You ask questions, learn quickly and keep improving. We believe in being brave before being confident.

You're open to feedback

You don't take constructive feedback personally. You actively seek it because you want to get better.

You lead through your behaviour

What you'll bring

· Pharmacy retail experience and a good understanding of products, promotions and pricing.

· Strong Excel capability, including working confidently with large datasets,



lookup formulas, PivotTables and reconciliations.

· Exceptional attention to detail.

· Strong organisation and the ability to manage competing deadlines.

· Confidence communicating with suppliers, agencies and colleagues.

· A proactive approach - you take ownership and follow things through.

· Curiosity and a willingness to learn new systems and ways of working.

Experience with Monday.com, Nexus or similar promotional systems would be useful. Experience with Claude or other AI tools and Adobe Creative Cloud would also be beneficial - but we are more interested in finding someone with the right attitude, pharmacy knowledge, Excel capability and attention to detail than someone who ticks every box.
