Rugby World Cup Australia is excited to offer an opportunity for a Recruitment Coordinator to join our Sydney office and reporting directly to the Senior Talent Acquisition Manager. The RecruitmentCoordinator plays a key role in supporting the end-to-end hiring process by managing candidate screening, interview logistics, system administration, and pre-employment compliance. Acting as the central link between candidates, hiring managers, and the Talent Acquisition team, this role ensures a smooth, timely, and professional recruitment experience while maintaining accurate data, strong communication, and productive process flow.

The position also supports talent pipeline development, onboarding preparation, and continuous improvement across recruitment systems and workflows.

Key responsibilities include but are not limited to:

- Schedule and manage virtual and onsite interviews, coordinating across hiring managers and panels.
- Maintain accurate candidate data, interview notes, status updates, and offer details in systems such as SuccessFactors.
- Manage timely communications throughout the hiring process, ensuring a positive and professional candidate experience.
- Complete reference and background checks, verify work eligibility, prepare contracts/offers, and ensure compliance with policies and privacy standards.
- Assist with recent starter paperwork, system setup, IT and access coordination, and orientation scheduling in partnership with P&C; teams.
- Build strong relationships with hiring managers and P&C; partners, provide high‑quality service, and act as a super‑user for recruitment systems and tools.
- Assist in reviewing applications, conduct phone interviews, and maintain active talent pipelines for future roles.

Qualifications & Experience

- 2-3 years' experience in recruitment, HR,



or coordination/administration (in‑house or agency).
- Strong systems capability, including ATS/HRIS platforms (e.g., SuccessFactors), MS Office/Google Suite, and digital scheduling tools.
- Solid understanding of end‑to‑end recruitment, including screening, compliance checks, and onboarding workflows.
- Excellent written and verbal communication, with the confidence to build rapport with candidates and hiring managers at all levels.
- Highly organised, able to manage high‑volume scheduling, competing priorities, and tight deadlines.
- Strong attention to detail, including accurate data entry, contract preparation, and secure handling of sensitive information.
- Collaborative and adaptable, comfortable working in a fast‑paced environment with diverse stakeholders and shifting priorities.

Desirable: Experience in high‑volume/project recruitment; HR or onboarding support; familiarity with employment legislation or visa checks; background in events, sport, logistics, hospitality, or similar industries.
