The Role
You’ll own the rolling roster, communicate proactively with support workers, manage short-notice changes, and provide general admin support. Accuracy, follow-through, and calm communication matter most.
Key responsibilities:
- Build and maintain the 6–8 week rolling roster in our rostering software (Brevity, ShiftCare, Deputy, Imploy, FlowLogic or similar)
- Confirm availability, offer shifts, and fill gaps by phone, SMS, and app
- Manage short-notice changes, cancellations, and replacements
- Chase timesheets, leave requests, and availability updates
- Keep staff records current (availability, qualifications, restrictions, certifications)
- Approve shifts accurately and maintain the attendance register
- Run rostering reports, including overtime
- Ensure overtime is pre-approved by the relevant manager
- Align with operations on rostering needs
- Send weekly rosters to clients when required
- Provide general admin support (filing, data entry, scanning notes, basic reporting)
- Flag rostering risks or patterns to the Care Operations Lead or Managing Director
- Liaise with payroll on shift discrepancies and adjustments
Must-Haves
- Proven experience in rostering, scheduling, or administration (NDIS or aged care highly regarded)
- Strong understanding of the SCHADS Award and how it applies to rostering
- Proficiency in rostering software and Microsoft 365 / Google Workspace
- Quick learner who can pick up new CRM and rostering systems
- Excellent communication and a professional phone manner
- Strong attention to detail, organisation, and time management
- Ability to build rapport with support workers
- NDIS Worker Screening Check (or willingness to obtain)
Desirable
- Experience in NDIS or aged care rostering
- Certificate or Diploma in Business Administration, HR, or a related field
What We Offer
- Casual role of around 24 hours per week over 3 days
- Potential to move to permanent part time if the hours stay consistent
- Extra hours available during busy periods
- Competitive casual rate + super
- Supportive team culture with real autonomy
- Opportunity to grow with a fast-expanding NDIS provider
- Training, tools, and regular team support
