YOUR NEW ROLE The Senior Team Assistant enables the effective operation of the Office of the Chief Risk & Transformation Officer and the broader Risk & Transformation portfolio by providing high-quality administrative, operational and coordination support.
Working closely with the Executive Assistant and under limited direction, the role connects teams, stakeholders and processes to ensure governance, travel, meetings, information and priorities are managed consistently, professionally and efficiently.
Executive Office and Portfolio Support
- Provide proactive administrative and coordination support to the Executive Assistant and broader Risk & Transformation leadership team.
- Coordinate portfolio-wide administrative activities and support the day-to-day operation of the Chief Risk & Transformation Officer’s (CRTO's) Office.
- Assist in monitoring key deadlines, actions and administrative commitments across the portfolio.
Governance and Coordination Support
- Support governance processes including Board, Committee and Executive paper coordination activities as required.
- Maintain action registers, decision logs, governance calendars and document repositories.
- Monitor document workflows, approvals and lodgement requirements.
- Assist with quality assurance reviews of papers and submissions to ensure compliance with EFA standards, templates and formatting requirements.
Travel and Logistics Management
- Coordinate complex domestic and international travel arrangements for portfolio staff and leadership team members.
- Manage travel approvals and ensure compliance with EFA policies and procedures.
- Act as a key liaison with travel providers to manage changes, disruptions and travel-related enquiries.
- Maintain travel records and support budget monitoring activities.
Meeting, Event and Workshop Coordination
- Coordinate meetings, leadership forums, workshops, team events and offsite activities.
- Manage end-to-end logistics, including venues, catering, visitor access, technology requirements and meeting materials.
- Support agenda preparation, minute taking and action tracking as required.
Financial and Operational Administration
- Process invoices, purchase orders and expense-related transactions.
- Support procurement administration and vendor management activities.
- Maintain administrative tracking systems, records and operational registers.
- Assist with budget monitoring and administrative reporting.
Stakeholder Engagement
- Act as a professional and responsive point of contact for administrative and coordination matters.
- Develop productive relationships with stakeholders across EFA and external service providers.
Continuous Improvement and Digital Enablement
- Support implementation of Microsoft 365, Copilot and automation-enabled solutions.
- Contribute to initiatives that improve the efficiency and effectiveness of the Executive Coordination function.
Office Administration
- Ordering office supplies as required.
- Backup reception coverage as required.
- Assist with any other general administrative requests and needs.
QUALIFICATIONS & SKILLS
- 8+ years experience as a Senior Team Assistant, Team Coordinator, Executive Assistant, Office Coordinator or similar role.
- Experience supporting senior leaders and multiple stakeholders in a complex environment.
- Experience coordinating travel, meetings, events and administrative processes.
- Experience managing competing priorities and deadlines with minimal supervision.
Desirable Experience
- Experience within financial services, government, regulatory or professional services environments.
- Experience supporting in-house legal team.
- Experience influencing at all organisational levels.
- Experience using Copilot, DocuSign, SAP Concur or similar business systems.
Skills
- Advanced Microsoft 365 skills, including Outlook, Word, Excel, Teams and SharePoint.
- Ability to exercise judgement, discretion and professionalism when handling sensitive information.
