Are you an experienced administration professional who enjoys coordinating processes, solving problems and helping an organisation operate effectively?

Staines Memorial College is seeking a capable and highly organised Administration Officer to join our College Administration team. About the Role

Working under the direction of the Business Support Manager, the Administration Officer will coordinate an assigned portfolio of administrative and operational responsibilities within the College.

The precise focus of the position will be determined with consideration of the successful applicant’s skills and experience, together with the operational needs of the College. The portfolio may involve areas such as administrative coordination, executive and leadership support, records and reporting, systems administration, people-related administration, or support for academic and operational activities.

The successful applicant will work collaboratively with the Business Support Manager and wider Administration team to coordinate their assigned responsibilities, monitor deadlines, apply established procedures and resolve administrative matters using sound judgement. They will also work closely with colleagues across the College to ensure information, records and processes are accurate, timely and well coordinated.

Key Responsibilities

- Coordinating administrative processes, workflows, schedules and operational activities





- Preparing professional correspondence, reports, forms, spreadsheets and information resources

- Maintaining accurate and confidential records within approved College systems

- Reviewing information for completeness and accuracy and following up outstanding requirements

- Undertaking data-quality checks, investigating discrepancies and coordinating corrections

- Preparing reports, registers, lists and data extracts to support College operations and decision-making

- Providing professional and responsive assistance to staff, students, families and external stakeholders

- Interpreting and applying established policies and procedures within the scope of the role

- Managing sensitive and confidential matters with discretion, empathy and professionalism

- Contributing to improvements in administrative processes, systems, templates and guidance materials

- Collaborating across the Administration team and providing support in other areas when required

About You

You are an experienced administration professional who brings sound judgement, initiative and a strong service focus to your work.

You will demonstrate:

- Experience providing high-level administrative support within education or a comparable service environment

- Strong organisational and time-management skills

- The ability to coordinate workflows, manage competing priorities and meet deadlines

- Sound judgement and initiative when applying procedures and resolving administrative matters

- High-level accuracy and attention to detail in data entry,



document preparation, recordkeeping and quality assurance

- Strong written, verbal and interpersonal communication skills

- Confidence working with records, data, documents and administrative systems

- The ability to handle sensitive and confidential information appropriately

- A professional and service-focused approach when working with staff, students, families and external stakeholders

- The ability to work effectively both independently and as part of a collaborative team

- Proficiency in Microsoft 365 and the ability to learn new systems efficiently

- A current Positive Notice Blue Card for child-related employment, or eligibility to obtain one before commencement

A Certificate IV or higher qualification in business administration, office administration or a related field would be highly regarded. Experience using administration, records management or information systems in a school or comparable environment would also be advantageous.

- a permanent resident; or

- the holder of an appropriate permit to work in Australia.
