About the role
This is a new senior position created as part of a planned organisational redesign. As Operations Manager you will own the business operations arm of the organisation and work as a peer with our Service Manager, with the Managing Director as your escalation point. You will bring finance, payroll and workforce administration, rostering and after-hours oversight, work health and safety, and business systems together under clear delegations, and you will make sure that decisions in those areas are made at the right level, within budget, and without defaulting upward.
You will lead a small onshore team (Rostering Coordinator, Finance and Compliance Officer, Intake and Wellbeing role, and Reception and Administration) and oversee our onshore payroll provider and offshore administrative support. You will be the internal custodian of our Delegations of Authority Framework and a key contributor to the implementation of our new structure through to mid-2027.
Key responsibilities
- Own day-to-day finance: accounts payable and receivable, NDIS claiming, reconciliations, cash reporting and the monthly budget position, with statutory accounting held by our external accountant.
- Approve pay runs and hold accountability for payroll under the SCHADS Award, including classification, overtime, on-call and penalty provisions.
- Own workforce administration and HR matters with external HR advisory support: contracts, onboarding, exits, records, performance and conduct processes, WorkCover and return to work.
- Line manage the Rostering Coordinator and endorse the master roster; oversee the after-hours on-call roster and act as management escalation on a rotating basis.
- Hold operational responsibility for work health and safety across both sites and our SIL houses, including psychosocial risk.
- Approve systems access and changes, maintain our data access protocols, and manage facilities, leases, insurances, vehicles and suppliers.
- Report monthly to the Managing Director on finance, payroll, workforce, rostering, safety and compliance posture.
About you
- Experience managing finance and business operations in an NDIS, disability, aged care or community services organisation, including invoicing, NDIA claiming, reconciliations and cash reporting.
- Working knowledge of the SCHADS Award and of payroll approval and control.
- Experience line managing staff across more than one function, including performance management with external advice.
- A sound understanding of work health and safety obligations in a care setting.
- Experience with rostering and workforce systems (Brevity or similar) and with finance and payroll systems.
- Judgement in applying delegations and financial controls, and the ability to hold decisions at the right level.
- Clear written and verbal communication, and the ability to work as a peer with a service delivery manager and directly with an owner Managing Director.
- NDIS Worker Screening Check, Working with Children Check and a current driver licence, or the ability to obtain them before starting.
