About the role
Full-time permanent position, based at any of the following office locations; Melbourne, Sydney, Brisbane or Canberra. Reporting directly to the Team Leader Client Services, you will be responsible for:
- Coordinating client appointments, service schedules, and related bookings
- Acting as first point of contact, liaising with clients and stakeholders to support effective service delivery
- Maintaining accurate data entry, records, and reporting using organisational systems and databases
- Processing incoming client requests and providing system support to Client Services staff
- Monitoring and managing shared inboxes, folders, and portals
- Providing administrative support for meetings, including agendas, minutes, and distribution of tasks
- Organising logistics such as room bookings, catering, vehicles, and technology requirements
- Supporting financial and record-keeping processes, including invoice coding, approvals, and archiving

About you
To be successful in this role, we are looking for someone with the following:
1. Relevant business and/or administration certificate/diploma with no prior relevant experience or no qualification with more than 12 months relevant experience
2. Demonstrated experience using Microsoft Office applications (Outlook, Teams, Word and Excel), with the ability to quickly learn and confidently navigate organisational systems and databases
3. Strong verbal and written communication skills, with the ability to engage professionally and empathetically with clients, stakeholders and colleagues
4.
Demonstrates inclusive behaviour, listens, acknowledges and values others
5. Works cooperatively with others; fostering teamwork and contributes to team decisions
6. Uses logic and problem-solving skills to understand and analyse issues and provide solutions and adapt effectively to changing priorities
7. Provides service excellence by delivering client focused services with a person-centred approach, meeting client needs and expectations
