Busy Bees at Bellmere is looking for a passionate Service Administrator to join our team and provide essential administrative support to the Service Manager while helping ensure the smooth, efficient and compliant operation of our service.This is a fantastic opportunity for someone who enjoys a varied role where no two days are the same.
You'll be a welcoming first point of contact for families, support the Service Manager and educators, manage important administrative processes and help create a positive experience for children and their families.About the RoleAs our Service Administrator, you will play an important role in the day-to-day running of the service.
You will work closely with the Service Manager and 2IC, educators, teachers and families to ensure administrative tasks are completed accurately, efficiently and confidentially.Your responsibilities will include:Providing day-to-day administrative and secretarial support to the Service ManagerWelcoming families and visitors and responding to enquiries professionallyAnswering phone calls, managing messages and ensuring information is passed on promptlySupporting enrolments, bookings and family enquiriesMaintaining accurate child and service records and ensuring documentation remains up to dateAssisting with accounts, payments,
banking and correspondenceSupporting invoicing and debt management processesAssisting families with account enquiries and relevant documentationSupporting compliance and regulatory record keepingMaintaining confidentiality and handling sensitive information appropriatelyAssisting with staff administration, timesheets and general office processesSupporting communications with families through relevant platforms and centre informationOrdering and receiving supplies as requiredAssisting with health, safety and emergency documentationProviding classroom/relief support when required by the Service ManagerAssisting with projects and other tasks that contribute to the smooth operation of the serviceThe role requires a high level of accuracy, organisation and attention to detail, as well as the ability to manage competing priorities in a busy early learning environment.About YouWe are looking for someone who is:Highly organised with excellent attention to detailFriendly, approachable and confident when communicating with families and team membersProfessional and able to maintain confidentialityAble to work independently and use initiativeComfortable managing multiple priorities in a busy environmentReliable, accountable and committed to maintaining complianceConfident using computer systems and Microsoft OfficeExperienced in administration,
preferably within early childhood education or a similar service environmentPassionate about providing exceptional service to children, families and the wider centre teamExperience with Xap, Workday or another child management system will be highly regarded.What You'll NeedCertificate III in Children's Services (or recognised equivalent) or higherCurrent Blue Card or the ability to obtain one prior to commencementCurrent First Aid and CPRPrevious administration experienceStrong written and verbal communication skillsExcellent organisational and time management skillsA high level of accuracy and attention to detailWhy Join Busy Bees?
